Reporting Relationship: Manager, Enrollment and Matching

FLSA Classification: Exempt

Hourly Amount: $20 - $23

Benefits: Because this is a part-time role, under 30 hours per week, this position does not qualify for a benefit package.

Position Summary:

The Enrollment and Matching Specialist will work closely with the Manager of Enrollment to handle all aspects of enrollment and matching to ensure that goals set for programs are met.

Supervisory Responsibilities:

There are no supervisory responsibilities in this position.

Responsibilities:

Responsibilities include enrollment of volunteers & children/families after initial inquiry through being matched.

This includes scheduling and conducting interviews, writing up quality assessments and matching for a variety of mentoring programs located in Cook, DuPage and Lake Counties of Illinois & Northwest Indiana.
This position requires a flexible schedule and may include working evenings and weekends.

  • Foster and maintain a professional relationship with potential volunteers and youth/families by monitoring and maintaining contact from inquiry through matching.
  • Work with corporate, community, and school partners to schedule and conduct enrollment interviews for all volunteers and children/families interested in Site-Based and Community-Based programs.
  • Conduct interviews virtually or in-person based on the individual or partner’s preference.
  • Prepare written assessments and recommendations within 48 hours post-interview. All match recommendations and/or approvals are based on the professional judgment of the Enrollment and Matching Specialist.
  • Provide weekly schedules, progress updates, and reports to the Manager of Enrollment.
  • Conduct outreach and recruitment for new volunteers and children, including distribution of program marketing materials, presentations to targeted organizations, ensuring presence at key community events, and collaborating with assigned schools/sites to ensure successful recruitment of children, as needed.
  • Communicate with the Manager of Enrollment on bottlenecks and strategize how to proceed.
  • Work collaboratively with EMS staff to assist with scheduling interviews high priority family and volunteers
  • Create safe and appropriate match relationships based on the current pool of volunteers and children.
  • Present matches to all match parties by phone to gain approval, prepare match notes, and lock in match introduction. Conduct 5 match presentations per week and facilitate 10 match introduction meetings per month or hand off to Program & Partnership facilitators or Match Introduction Meeting Coordinators.
  • Monitor progress towards and meet goals established for Part-Time Enrollment and Matching (baseline capacity 10 interviews and 10 assessments, and 5 matches per month).
  • Maintain flexibility to work evenings 2–3 days per week to accommodate family and volunteer schedules.
  • Coordinate and schedule match introduction meetings, including assigning facilitators and managing appointments through Outlook calendar.
  • Collaborate with all program partners to ensure a seamless transition for volunteers and children/families from inquiry to matching.
  • Conduct volunteer reassessments and child reassessments, as needed.
  • Maintain accurate files and documentation on all volunteers and children/families.
