The Client Resource Coordinator is an active team member who organizes, promotes and delivers activities that center the needs, interests and abilities of clients. Examples include arts, crafts, games, music, social recreation, workshops, demonstrations and other engagement activities. The position requires the exercise of considerable initiative in developing and managing partnerships with community organizations and serving as a representative of the organization to these external stakeholders.
The Coordinator facilitates the participation of each client through kindness, patience and compassion. Additionally, the Coordinator is responsible for administrative tasks including tracking and maintaining client participation data. The Coordinator accompanies clients on off-site outings and some evening and weekend activities are included as a normal part of the schedule. All services should foster a safe and trauma informed environment.
Support and onsite supervision of volunteers is required.
- Plan, develop and deliver onsite activities focused on creative engagement, life skills development and constructive social interaction.
- Reach out to external groups and individuals to establish new collaborations and coordinate activities.
- Assess the interests and needs of the clients of all Sarah’s Circle programs (Interim Housing, Daytime Support Center, Permanent Supportive Housing and Rapid Rehousing) and engage in activities accordingly. Research new ideas for activities, taking into consideration client suggestions.
- Collaborate with program management regarding monthly schedule planning and provide monthly calendar to both staff and clients.
- Create flyers and promotional materials for client events.
- Prepare materials ahead of time; prepare and clean-up work areas.
- Serve as a representative of Sarah’s Circle at resource fairs and community events.
- Enforce rules and regulations, de-escalate conflict and ensure safety of participants. Use nonjudgmental language, listen, and validate a wide range of emotions expressed by clients.
- Regularly inventory and organize art and activity materials received through in‑kind donations, and work with Development team to secure materials.
- Work collaboratively with the Development Associate to schedule, support, and supervise onsite volunteers. Welcome volunteers to the program; share information about services; provide guidance as needed; request that they sign in/out.
- Track and maintain program related data. This may include entering client data into Homeless Management Information System (HMIS) within the 48‑hour mandatory time period. Safeguard sensitive client information.
- Accurately complete reports as required. Reports may include daily encounter logs, data monthly submissions and summaries of client interaction notes.
- Send out regular emails to staff informing them of the meal donation schedule
- Complete cross‑training for Program Staff role and provide support when requested, including subbing for shifts. When assisting at the Interim Housing Program, this will include assisting with shelter operations such as completing new client intakes, cooking and serving meals, restocking inventory, cleaning, and assisting with laundry.
