The Tenant Coordinator manages their assigned tenants through the design and construction phases of their store build out to expedite their openings in our shopping centers. This role will work closely with leasing, legal, property management, construction, asset management, and accounting to drive tenant’s progression to opening.

Responsibilities

  • Establish and build a strong working relationship with Tenant’s Design and Construction contacts for all assigned deals.
  • Take ownership of and be the primary internal point of contact for the Tenant build-out process from initial deal prospect through to opening and beyond.
  • Support the tenant and their consultants in understanding process regarding space conditions, permitting, tenant plan submittals/approvals, construction, turnover timing, and overall project date tracking
  • Manage and track the overall tenant design/construction progress & schedule, focusing on our progress to budget and early store openings
  • Accurately report and maintain our electronic tracking system as updates occur for all assigned deals & properties such that current Tenant project status is readily accessible company-wide
  • Provide all upfront design/construction details to support Leasing’s deals with respect to date timing, previous tenant drawing, LODs, space conditions, etc.
  • Partner with your tenant coordination construction counterpart on all projects requiring Landlord work.
  • Review LODs, lease plans, and lease drawing exhibits for accuracy and provide direction on updates as necessary
  • Electronically review and approve tenant plan submissions and documents for compliance with company criteria, focusing on the design/material standards of tenant stores
  • Develop and implement new policies & procedures
  • Process projects per our department guidelines to comply with audit policies
  • Work with center management, business development, legal, leasing and your tenant coordination construction counterpart to ensure the previous tenant has vacated in a timely fashion & Landlord work is complete to aid in the on time or early turnover of the lease premises to the new tenant
  • Review concept and signage documents for in-line license agreement tenants to compliment the center's design aesthetic
  • Participate in the regional leasing/legal/tenant coordination conference call to ensure tenant issues are clearly communicated.
  • Maintain communication with key internal groups such as leasing, legal, the property team, and development counterparts on all aspects of the deal and especially ensuring tenant issues are resolved and tenant build-outs are built according to company approval
  • Review lease and lease exhibits for alignment of final dates, timing, plan submission, drawing exhibits, and tenant scope of work/expectation in conjunction with law/leasing teams
  • Generate, update and maintain comprehensive center criteria manuals.
  • Establish & maintain working relationships with the local authority having jurisdiction at the property
  • Visit properties as business dictates or as requested by supervisor (minimum of once every eighteen months).
  • Review and approve the release of Tenant Allowance based on Tenant lease required scope of work and adherence to the tenant build-out commitment and payments process.
  • Provide tenant coordination leadership for major projects as determined by your supervisor
  • Perform other duties as assigned

Qualifications

  • High School Diploma or GED required
  • Bachelor's Degree or equivalent work experience required
  • Bachelor's Degree in Architecture, Interior Design, Engineering, or Construction Management preferred
  • 3-5 years minimum of retail design and/or retail project management experience
  • Ability to understand construction documents and to analyze & provide insights on design, materials, specifications
  • Excellent analytical and problem-solving skills
  • Effective organizational and time management skills
  • Ability to deal with multiple tasks effectively and establish priorities
  • Self-motivated, proactive and results oriented
  • Strong interpersonal, written and oral communication skills.
  • Ability to negotiate and communicate to all levels inside and outside the organization
  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, Teams,
  • Proficiency in Adobe Acrobat DC and/or Bluebeam
  • Knowledge of Salesforce preferred
  • Knowledge of National Building Codes, building materials and engineering systems (such as MEP and life safety) preferred
