Adult Group Tours and Sales Coordinator
The Coordinator, Adult Group Tours, Sales and Experiences supports the Special Events department in its mission to promote the Chicago History Museum as a unique educational and entertaining venue for Adult Group Tours, Adult Group Ticket Sales and Experiences. The position is responsible for maximizing adult group sales revenue, meeting set goals, cold calling and metric expectations, and building a pipeline of prospective clients by networking to establish authentic business relationships.
The Coordinator promotes, sells and coordinates the adult group tour program with the goal of increasing adult group tour visits, adult group virtual program sales, adult group ticket sales, experiences and revenue of the museum. The coordinator also assists the Special Events Department as needed.
Promote & Develop Adult Group Tours, Adult Group Ticket Sales & Experiences to CHM
- Develop group sales packages and experiences resulting in increased museum attendance and revenue opportunities.
- Manage the Adult Group Tour budget and monthly/quarterly/yearly reports
- Attend travel industry trade shows and industry functions for the Chicago Convention and Tourism Bureau
- Identify new client relationships locally and beyond. This includes conducting sales calls (via email, on the phone and in person) and visits to a required number of contacts both new and existing each month.
- Determine financial goals, pricing strategies, marketing plans and advertising ideas for the adult group tour market
- Meet annual financial goals for revenue and expenses
- Implement daily activities with Visitor Services, Security and the Café
- Develop pricing, new adult group program ideas / sales outlets and tactics along with developing possible upgrades with the Café and onsite store for adult groups, with the goal of increasing adult group revenue across museum departments

- Contact clients, contract group tour leaders, and other markets for selling program offerings
- Oversee and facilitate the tours, virtual programs, off site tours, sales and experiences themselves including direct work with security, maintenance, vendors and catering staff throughout tour visit and experience either onsite or virtually
- Assist clients with all needs and requests
- Follow up with clients and maintain client relationships to build business and rebooking previous clients while maintaining long standing relationships
- Coordinate and schedule volunteers, education team, and other tour guides as needed and complete proper paperwork to secure such needs.
- Schedule other services that might be needed for the group during their visit
- Assemble internal event memos and communications that detail logistics of group
- Respond to all phone and email requests in a prompt time
- Follow up with all group tour and experience leads
- Book events, track clients, build tickets, close events, collect payments and reports for Adult Group Sales in Altru and other sales programs
- Process booking sheets, invoices, and contracts
- Track and process client payments and agreements
- Conduct cold calling and market research to develop and diversify business and Sales.
- Assist with the development of business development with areas in department
- Work with multiple departments to streamline the paperwork/booking process through ALTRU and EMS Programs
- Participating in various special event department programs
- Evaluate and maintain necessary forms and printed materials
- Additional ALTRU and EMS database management
- Participate in CHM committee meetings as requested
- Other duties as assigned
The Coordinator works internally and cross functionally with several museum Departments.
Qualifications & Characteristics- A minimum of three (3) to five (5) years of sales or group coordination or event planning experience; bachelor's degree is a plus.
- Must display a strong work ethic and desire to build a career in hospitality, travel, and/or tourism.
