Import Coordinator

Position Summary

We are seeking a detail-oriented Air Import Coordinator to manage end-to-end international air freight shipments, with additional responsibility for Ocean Import operations. The role focuses on ensuring timely cargo movement, regulatory compliance, and exceptional customer service while leveraging Cargo Wise to maintain accurate shipment visibility and documentation.

• Coordinate and monitor international air import shipments from origin to final delivery
• File and manage import documentation (HAWB/MAWB, customs entries, arrival notices)
• Liaise with airlines, customs brokers, warehouses, and trucking partners
• Track shipments proactively and resolve delays or exceptions
• Ensure compliance with U.S. Customs and TSA regulations

• Handle FCL and LCL import files including ISF monitoring
• Coordinate vessel arrivals, container releases, and delivery orders
• Review bills of lading and manage ocean freight documentation
• Communicate with steamship lines, NVOCCs, and port terminals

• Enter, update, and manage shipment milestones in Cargo Wise
• Maintain accurate billing, cost accruals, and job profitability
• Prepare reports and maintain shipment records for audit purposes
• Provide shipment updates and proactive communication to customers
• Resolve service issues and support continuous improvement initiatives
• Build strong relationships with carriers and service providers

• 2+ years of Air Import freight forwarding experience
• Working knowledge of ocean import processes (FCL/LCL) (seen favourably)
• Hands-on experience with Cargo Wise (operations and billing modules preferred)
• Understanding of U.S. import regulations and documentation
• Strong organizational, multitasking, and problem-solving skills

• Experience with ISF filing coordination
• Knowledge of Incoterms and international shipping documentation
• Ability to manage multiple shipments in a fast-paced environment
