The Air Operations Specialist is responsible for managing and coordinating day-to-day air freight operations, including shipment booking, documentation, tracking, communication with airlines, overseas agents, customers, and internal teams. This role requires strong experience in freight forwarding, air import/export operations, and the ability to manage time-sensitive shipments in a fast-paced logistics environment.
- Coordinate full-cycle air freight shipments, including import and export operations.
- Arrange bookings with airlines, co-loaders, and overseas agents.
- Prepare, review, and process air freight documentation, including commercial invoices, packing lists, and related shipping documents.
- Track and trace shipments to ensure timely movement and proactively resolve delays or operational issues.
- Communicate with customers, airlines, customs brokers, overseas agents, trucking companies, and internal departments.
- Coordinate customs clearance, cargo release, pickup, and final delivery as needed.
- Monitor shipment milestones and ensure accurate data entry in the Transportation Management System.
- Support billing, cost verification, and invoicing processes related to air freight shipments.
- Ensure compliance with company procedures, customer requirements, TSA/IAC requirements, and applicable air freight regulations.
- Provide timely shipment updates and maintain strong customer service throughout the shipment process.
- 3–5 years of experience in air freight operations, freight forwarding, or international logistics.
- Strong knowledge of air import/export operations and related documentation.
- Experience working with airlines, overseas agents, customs brokers, and trucking providers.
- Excellent computer skills and experience with logistics systems preferred.
- Ability to work in a fast-paced environment and manage multiple priorities.
- Strong attention to detail, problem-solving skills, and sense of urgency.
- Strong interpersonal and communication skills, both verbal and written.
