Financial Manager
The Archdiocese of Chicago, the third largest in the United States, serves more than 2.2 million Catholics in 216 parishes in Cook County and Lake County, a geographic area of 1,411 square miles. The Operations Director (OD) will be a practicing Catholic, supporting the Catholic Church teachings, mission, and values. The OD will serve as the professional administrator and strategic leader at one or more parishes of the Archdiocese of Chicago, assisting the pastor with the stewardship of human, financial, and physical resources in accordance with Archdiocesan policies and guidelines. The OD will lead and build a team of operations staff, including bookkeepers, office, and maintenance staff.
FinancialManagement
- Prepare, evaluate, and communicate parish budgets, annual reports, profit & loss, balance sheet, accounts receivable, accounts payable, and general ledger.
- Develop monthly variance reports and reforecasts. Review all reports with the pastor and principal (as applicable).
- Ensure proper internal controls are in place and followed.
- Serve as parish representative to banks, manage accounts, and resolve discrepancies.
- Perform bookkeeping functions including payables, receivables, and all parish revenue and expenses.
- Oversee purchasing, contract negotiations, and vendor relationships.
- Act as the staff liaison to the Parish Finance Council; support the School Board as applicable.
- Coordinate capital campaign pledges, collections, fundraising events, pledge drives, parish offertory collections, and stewardship.
- Utilize Archdiocesan best practices.
- Confirm that all federal, state, and local taxes are paid in accordance with regulations.
- Develop and manage the school economic model to assess the financial impact of initiatives such as enrollment, tuition, discounts, and costs.
- Support the principal in developing assumptions for the annual budget.
- Reforecast school finances each fall after enrollment season.
- Support and assist the principal and pastor in all school financial management matters, including:
- Tuition setting process
- Tuition collection process
- Financial aid process
- Track and manage expenses.
- Serve as a member of the School Financial Aid Committee.
- Manage major repairs, renovations, and capital projects in accordance with Archdiocesan policies.
- Act as liaison to Archdiocesan administrative agencies.
- Manage custodial maintenance functions.
- Serve as a resource for the Building Committee.
- Oversee parish security, leasing, rental, and use of parish facilities, and liaise with local government agencies.
- Work closely with the Vicariate Human Resource Manager regarding all HR policies.
- Manage payment of salaries and benefits.
- Oversee the management of the parish office (as applicable).
- Manage parish office staff and employee performance, including completion of performance management practices.
- Evaluate support staff through yearly performance reviews.
- Oversee the implementation of volunteer guidelines and policies.
- Direct and oversee preparation and publication of relevant information presented on the Sunday bulletin.
- Oversee the maintenance of the parish census and database.
- Maintain information technology, including computers, internet, telephone, copiers, etc.
- Oversee management of parish operational and financial records.
- Manage parish project plans, identify needs and required actions, track and communicate status to stakeholders, identify challenges, make necessary corrections, and implement initiatives.
- Organize and facilitate weekly staff meetings to ensure all necessary information is communicated and challenges are addressed.
- Bring ideas, plans, and best practices from Vicariate and Archdiocesan meetings to the parish.
- Must be Catholic and demonstrate understanding, respect, and support of the Catholic Church teachings, mission, and values.
- Experience in accounting, finance, or related business practices.
- Ability to identify opportunities for improvement, evaluate issues, and propose and implement recommendations.
- Strong proficiency in Quick Books and Microsoft Office, especially Excel.
- Experience in human resources practices, including people leadership, interviewing, selection, and policy application.
- Be able to be entrusted with highly confidential information.
- Must hold a bachelor’s degree or higher in accounting, finance, or business management.
- Experience with a not-for-profit organization or in church management.
