The Facilities Programs Manager is responsible for supporting the ongoing operation, maintenance, appearance, and overall condition of Standard Wellness’s retail cannabis dispensary locations operating under "The Forest" brand.

Reporting to the Director of Development & Expansion, this position will serve as the primary point of contact for retail facility needs and will manage maintenance requests from initial intake through completion.

The Facilities Programs Manager will coordinate vendors, maintain preventative maintenance programs, conduct facility inspections, monitor building systems, and ensure each retail location remains safe, compliant, operational, and customer-ready.

This is a hybrid, field-based role combining work from the Cleveland office, home, and retail locations. The position requires regular travel to stores throughout Ohio and occasional travel to other states where the Company operates. The Facilities Services Manager will also provide project management support for retail renovations, capital improvements, new-store openings, and other projects as needed.

Essential Job Functions:

Facilities Support and Maintenance Ticket Management

  • Serve as the primary point of contact for maintenance and facility issues reported by retail locations.
  • Receive, review, prioritize, dispatch, track, and close facility maintenance tickets.
  • Coordinate internal resources and outside vendors to resolve routine repairs, urgent issues, and business-critical facility failures.
  • Maintain communication with store leadership regarding issue status, scheduled work, expected completion, and final resolution.
  • Escalate emergencies, safety concerns, operational risks, and after-hours issues as appropriate.
  • Track recurring facility problems and work toward permanent solutions rather than repeated temporary repairs.

Preventative Maintenance and Building Systems

  • Develop, maintain, and oversee preventative maintenance schedules for each retail location.
  • Coordinate recurring maintenance for HVAC, electrical, plumbing, lighting, roofing, signage, fire and life-safety systems, security systems, access control, and general building infrastructure.
  • Schedule and track HVAC inspections, filter and belt replacements, seasonal maintenance, fire-extinguisher inspections, alarm testing, roof and gutter reviews, pest control, landscaping, snow removal, and other location-specific services.
  • Maintain equipment information, warranties, service agreements, inspection reports, and maintenance histories.
  • Monitor the condition and performance of major building systems and recommend repair or replacement when appropriate.
  • Identify upcoming maintenance and capital needs before they become urgent or disruptive.
  • Monitor utility usage and recommend practical energy-efficiency and cost-reduction measures.

Facility Walkthroughs, Inspections, and Store Standards

  • Conduct or coordinate quarterly walkthroughs and inspections of each retail facility.
  • Develop and maintain standardized facility inspection and grading scorecards.
  • Evaluate safety, accessibility, cleanliness, lighting, signage, exterior condition, landscaping, restrooms, back-of-house areas, general repair, and overall store appearance.
  • Ensure locations remain consistent with The Forest’s operational and brand standards.
  • Create corrective-action lists following walkthroughs and inspections.
  • Assign responsibilities and completion dates and follow through until identified deficiencies are resolved.
  • Support regulatory, landlord, insurance, fire, building, and other facility-related inspections.
  • Work directly with store leadership to maintain the overall look, feel, cleanliness, and upkeep of each location.

Vendor and Contractor Management

  • Source, qualify, onboard, and manage vendors and contractors across applicable trades and markets.
  • Coordinate vendors for HVAC, electrical, plumbing, roofing, janitorial, landscaping, pest control, security, fire protection, signage, and general repairs.
  • Obtain and compare proposals to confirm appropriate scope, pricing, schedule, and qualifications.
  • Verify vendor licensing, insurance, certificates of insurance, and other required documentation.
  • Hold vendors accountable for quality, responsiveness, pricing, communication, and timely completion.
  • Review completed work to confirm the approved scope has been properly performed.
  • Develop and maintain reliable vendor coverage for each retail market.
  • Maintain organized vendor contracts, proposals, service agreements, invoices, warranties, and supporting documentation.

Budget, Invoices, and Reporting

  • Assist with developing and managing facility maintenance and capital improvement budgets.
  • Track facility spending by location, vendor, trade, and type of work.
  • Review invoices against approved proposals, completed work, and applicable service agreements.
  • Identify cost-saving opportunities and negotiate competitive pricing when appropriate.
