Vehicle Maintenance Service Advisor

Vehicle Maintenance Service Advisors oversee the day‑to‑day workflow of the vehicle maintenance at a facility. This position provides communication and feedback to customers, vendors, and the management team. Serves as advisor to coordinate and facilitate maintenance work and repairs, as well as monitor safety, downtime, and quality of repairs and maintenance.

Responsibilities
  • Assist in ensuring all work performed by staff is completed in a safe manner in compliance with all local, state, and federal regulations and company policies
  • Regularly communicate with management, operations, vendors, and others regarding the status of fleet vehicles, containers and/or other equipment
  • Assist with ensuring the maintenance department maintains quality and safety standards
  • Assist with ensuring maintenance is performed safely and effectively
  • Evaluate and adjust workflow to balance downtime and operational needs
  • Review and close maintenance orders and conduct audits of maintenance records to identify returned work and training opportunities
  • Ensure all paperwork is completed accurately and timely
  • Maintain a positive work atmosphere by performing and communicating in a manner that promotes good relationships with customers, clients, co‑workers, employees, and managers
  • Serve as a liaison between the shop leadership team, drivers, sub‑contractors, and operations teams to identify and address concerns
  • Answer phone inquiries, dispatch road calls, and coordinate outside repairs to maintain a high level of customer service
  • Assist managing the workflow of the auxiliary support staff to maintain a high level of support for the maintenance shop
  • Conduct employee observations to ensure safety and operational procedures are being followed
  • Perform other duties as assigned
Supervisory Responsibility
  • This position will not manage employees
Skills & Abilities
  • Familiarity with use of repair manuals, electrical wiring, diagnostic software, and schematics necessary to troubleshoot
  • Knowledge of OSHA and DOT
  • Computer skills and a working knowledge of Microsoft Office applications required
  • Ability to work independently, make sound decisions, prioritize work, and resolve problems in a methodical manner
  • Must be able to read and speak the English language well enough to communicate, understand, and respond to questions, instructions, signs, and safety training
Experience & Knowledge
  • Experience with Geo‑tab platforms for GPS tracking and diagnostic purposes required
  • Experience with SAP or similar maintenance management software required
  • Experience working with welding equipment preferred
  • 3‑5 years of vehicle maintenance experience preferred with a minimum of 2 years required
Physical Requirements
  • Occasionally lifting/carrying/pushing/pulling a max of 100 lbs
  • Occasionally working outside in changing temperatures, wet/humid conditions
  • Rarely working in areas of dust, odors, mist, gases, and other airborne matter
  • Occasionally stooping/kneeling/crouching/crawling
  • Occasionally climbing and/or balancing
  • Frequently sitting/standing/walking in an office environment
Additional Working Conditions
  • No more than 3 moving violations within the last 2 years
  • Must not have any DUI's or OVI's within the last 5 years or 2 in the last 10 years
  • Exposure to residential and commercial waste
  • Ability to travel between offices, as required
  • Ability to work flexible hours; expected to work nights and weekends as needed
  • Ability to work overtime, weekends, and/or holidays
