Maintenance Planner / Buyer Position Summary
The Maintenance Planner / Buyer is responsible for planning and coordinating maintenance activities, managing spare parts inventory, and procuring materials and services required to support facility and equipment reliability. This role ensures maintenance work is properly planned, scheduled, and supported with the necessary resources while maintaining accurate records within the Computerized Maintenance Management System (CMMS). The position works closely with Maintenance, Operations, Vendors, and Contractors to maximize equipment uptime and operational efficiency.
Essential Responsibilities Maintenance & Scheduling
- Plan, schedule, and coordinate preventive, predictive, and corrective maintenance activities.
- Create and manage work orders within the CMMS system.
- Develop detailed job plans including labor, parts, tools, safety requirements, and estimated completion times.
- Coordinate maintenance schedules with operations to minimize production downtime.
- Track work order completion and ensure maintenance records are accurate and current.
- Monitor maintenance KPIs and support continuous improvement initiatives.
- Assist with equipment repairs, upgrades, installations, and facility improvement projects.
- Communicate maintenance schedules, project status, risks, and completion updates to stakeholders.
Purchasing & Inventory Management
- Manage spare parts inventory to ensure adequate stock levels for maintenance operations.
- Establish and maintain min/max inventory levels for critical spare parts.
- Order and expedite parts, materials, and maintenance-related supplies.
- Evaluate suppliers, pricing, lead times, and service levels to secure the best value.
- Track purchase orders and vendor deliveries while resolving shortages and delays.
- Coordinate repair and return processes for damaged or defective components.
- Conduct cycle counts and maintain inventory accuracy.
- Process invoices and support purchasing documentation and reconciliation activities.
- Build and maintain strong relationships with vendors and service providers.
Project & Contractor Coordination
- Coordinate maintenance-related projects by defining scope, timelines, resources, and materials.
- Schedule and oversee contractor activities as required.
- Obtain vendor quotes and assist with contractor selection.
- Ensure required permits, materials, and equipment access are available before work begins.
- Support facility maintenance and infrastructure improvement projects.
Administrative & Reporting Functions
- Maintain accurate purchasing, inventory, and maintenance records.
- Generate reports and KPI metrics from CMMS and ERP systems.
- Support budgeting and cost tracking for maintenance activities.
- Assist with vendor management and service documentation.
- Perform additional duties as assigned.
Qualifications Education
- High School Diploma or GED required.
- Associate degree or technical training in Maintenance, Supply Chain, Industrial Technology, or a related field preferred.
Experience
- 2–5 years of maintenance planning, maintenance purchasing, storeroom management, or related industrial experience.
- Experience using CMMS software required.
- ERP/MRP system experience required.
- Experience supporting manufacturing, distribution, food production, or industrial operations preferred.

Physical Requirements
- Ability to work in both office and industrial environments.
- Ability to walk throughout the facility and access production and maintenance areas.
- Ability to occasionally lift up to 50 pounds.
- Ability to stand, walk, bend, reach, and perform routine physical activities associated with facility support.
Preferred Qualifications
- Experience in maintenance planning within a manufacturing, food production, or distribution environment.
- Knowledge of preventive and predictive maintenance programs.
- Familiarity with maintenance reliability principles and spare parts management.
- Experience managing vendor relationships and negotiating pricing.
