Position: Executive Assistant to the COO & VP, Global Projects

Executive Assistant

Martin Brower is seeking an experienced Executive Assistant to support Chief Operating Officer Yves-Marie and provide additional support to the Vice President, Global Projects, while partnering closely with other executive leaders as needed. This role sits at the center of a highly complex global operation and is responsible for ensuring executive priorities, meetings, travel, and communications are coordinated effectively across multiple markets and time zones.

The successful candidate will serve as a trusted partner who helps ensure executives remain focused on the organization's highest priorities while coordinating the many moving pieces that support a global leadership team.

Yves-Marie operates in a highly global environment, partnering with leaders across multiple markets and time zones. As a result, he places significant value on thoughtful planning, strong organizational skills, and an understanding of how decisions impact broader business priorities. He is highly analytical and prefers partners who think several steps ahead rather than simply reacting to requests as they arise. Success in this role requires the ability to understand relationships between meetings, projects, stakeholders, and deadlines, and make scheduling decisions with those dependencies in mind.

The Executive Assistant's responsibilities will encompass several key areas:

  • Support the COO's Priorities & Calendar
    • Manage and optimize the COO's complex calendar across multiple markets, time zones, and stakeholder groups
    • Coordinate internal and external meetings with executive leaders, customers, and business partners
    • Exercise sound judgment when prioritizing requests, resolving scheduling conflicts, and making decisions that impact broader business priorities, stakeholders, and commitments
    • Maintain visibility into recurring engagements, key initiatives, and executive priorities to support effective follow-through
    • Serve as a trusted gatekeeper who understands the COO's priorities and working style
  • Coordinate Global Travel, Meetings & Logistics
    • Manage domestic and international travel planning, including flights, accommodations, itineraries, and related logistics
    • Coordinate logistics for leadership meetings, executive team gatherings, and select business events
    • Prepare materials and information needed to support upcoming meetings and engagements
    • Partner with internal stakeholders to ensure travel, meetings, and executive engagements are executed seamlessly
  • Support Executive Team Coordination
    • Provide calendar, travel, and administrative support to the VP, Global Projects and additional executive leaders as needed
    • Coordinate activities across multiple executives to ensure alignment, communication, and efficient use of time
    • Manage expense reporting and related administrative follow-through
    • Partner closely with other executive assistants to coordinate executive meetings, leadership activities, and company initiatives
    • Leverage technology, productivity tools, and AI to improve organization, communication, and administrative efficiency

$110,000 - $125,000 a year Eligible for a 10% annual bonus Comprehensive benefits package including medical, dental, vision, commuter reimbursement, and a retirement plan
