Project Coordinator, Governance

The American Academy of Dermatology is seeking a Project Coordinator, Governance located in our Rosemont, IL office responsible for coordinating ongoing projects and assists staff leadership for the American Academy of Dermatology and American Academy of Dermatology Association with governance-related projects. Creates Officer Schedules for Annual and Innovation Meetings. Coordinates information for EO Scheduler and Team Up.

Responsibilities:

  • Supports the president, and other officers, as needed. Duties include, but are not limited to, managing the officer travel schedule, which includes proactively collaborating with internal staff, outside organizations, and officers' assistants to ensure accuracy and maintaining a central calendar for each officer for events related to the Annual and Innovation Meetings. Communicating effectively and efficiently with president and officers.
  • Primary staff contact for members' questions or issues relative to the Disclosure of Outside Interest Forms. Design and execute reports and PowerPoint presentations. Research and maintain the pending companies for the online disclosure of outside interest form.
  • Maintains information in the Academy's database relative to the awards overseen by the Governance Team.
  • Maintains the information for and prepares the In-Memoriam presentation for the Annual Business Meeting.
  • Manages schedules for Academy Update speaking engagements at society meetings with the Director, Strategy & Alliances, Associate Director, Member Communications & Publishing and Senior Manager, State and Patient Relations.
  • Maintains the Aptify legal database and the National Practitioners Data Base (NPDB).
  • Audit and process travel expense reports and invoices. Address questions relating to the expenses and invoices.
  • Research and address member inquiries and correspond appropriately, investigating questions related to historical data, maintain, analyze, and implement recommended improvements to processes, maintain program management timelines.
  • Design and execute reports and PowerPoint presentations.
  • Back-up to team members. Adjust priorities to respond to changing circumstances and ensure quality of finished products.
  • Use sound judgement and professional knowledge to determine when the Governance Director should be informed of issues and/or asked for input/review and follow through in a timely and informative manner.

Requirements:

  • Minimum high school diploma or equivalent; bachelor's degree preferred.
  • 4 years of administrative experience.
  • Project-management certification or equivalent, with minimum of 2 years' experience based on position.
  • Healthcare association experience preferred.
  • Attention to Detail – Able to consistently complete work accurately and locate errors of others.
  • Collaboration – Establishes and maintains effective work relationships, works cooperatively in group situations. Offers assistance and support to coworkers.
  • Communication – Apply effective verbal, nonverbal, and written communication methods to achieve desired results. Respond knowledgably to standard business correspondence. Demonstrate sufficient business vocabulary to communicate effectively.
  • Computer – Intermediate with MS Office skills (Outlook Word, Excel and PowerPoint). Project Management software skills a plus.
  • Decision Making – Collect and analyze information used to make sound business process and procedure decisions.
  • Dependability – Able to follow through on assignments and instructions in a reliable, trustworthy, and timely manner. Responds productively to requests for service and assistance. Self-starter and highly motivated.
