Job Summary

The Order Entry Supervisor is responsible for providing supervisory assistance to the Pharmacy Manager with the day-to-day management, production, and operation of the Order Entry department, ensuring the accuracy and timeliness of prescription data.

Duties/Responsibilities
  • Manage the order entry department to meet daily operations in order entry, new and refill orders, customer service inbound and outbound calls, maintenance of current nursing home bed census, and pharmacy claims resolution.
  • Handle hiring, training, and disciplinary functions for order entry, call center, and census personnel.
  • Achieve department goals in volume, production, quality, customer service, and completion of daily order entry by run-time deadlines.
  • Monitor staff performance for productivity, accuracy, and quality; implement retraining or performance improvement programs as needed.
  • Prepare and conduct employee performance evaluations and coaching or warning sessions.
  • Identify and implement opportunities to improve operations including cost reduction, productivity improvement, increased capacity, improved quality, enhanced service, and best practice workflows.
  • Coordinate with other departments – pharmacists, pharmacy technicians, delivery and inventory control – to achieve daily production and service goals.
  • Maintain a customer focus, building trust and respect through effective relationships.
  • Participate in special projects or training to implement operational improvements.
  • Work positive and productively with others, anticipating and responding to responsibilities.
  • Comply with all company and departmental policies and procedures.
  • Adhere to all applicable state and federal regulations related to pharmacy practices.
  • Other duties as assigned.
Qualifications/Competencies

Required Skills/Abilities
  • Knowledge of brand name/generic medications.
  • Experience with alpha-numeric data entry.
  • Basic understanding and ability to read and correct key prescriptions.
  • Basic math computation skills.
  • Knowledge of SIG codes.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Strong oral, written, and English language skills.
  • Ability to work at a moderate speed.
  • Excellent organization and attention to detail.
Education and/or Experience
  • High school diploma or equivalent required.
  • State licensing/certification as a pharmacy technician required.
  • Minimum 3 to 5 years managing day-to-day operations in a healthcare environment or long-term care pharmacy.
Physical Demands
  • May sit or stand 7-10 hours per day.
  • Occasionally sit, climb, balance, stoop, kneel, bend, walk.
  • May work extended hours as needed.
  • May lift and/or move up to 30 pounds.
  • Work environment characteristics described are representative of those encountered while performing job duties.
