ResponsibilitiesThe HVAC Inventory Clerk is responsible for managing and maintaining inventory levels of HVAC parts and equipment, ensuring accurate records and preventing delays in work order completion.
- Monitor and maintain inventory levels of HVAC parts, tools, and equipment.
- Conduct regular inventory audits to ensure accuracy and compliance with company standards.
- Receive shipments of HVAC materials and verify quantities against purchase orders.
- Organize and stock inventory in designated areas, ensuring proper labeling and accessibility.
- Input inventory data into the inventory management system accurately and timely.
- Maintain detailed records of inventory transactions, including receipts, transfers, and usage.
- Assist in preparing purchase orders for replenishing inventory based on usage and forecasts.
- Coordinate with suppliers to ensure timely delivery of HVAC parts and materials.
- Generate financial reports related to inventory for end‑of‑fiscal‑year budget purposes, providing insights for financial planning and resource allocation.
- Collaborate with HVAC technicians and management to understand inventory needs and address shortages.
- Provide updates on inventory status and assist in resolving any discrepancies.
- Ensure compliance with safety regulations and proper handling of HVAC materials.
- Maintain a clean and organized inventory area to promote safety and efficiency.
- Other work‑related duties assigned by Housing Director.
Skills and Abilities
- Communication Skills – Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals; effectively present information in one‑on‑one and small group situations.
- Mathematical Skills – Ability to perform basic arithmetic and compute rates, ratios, and percentages.
- Reasoning Ability – Apply common sense understanding to carry out detailed written or oral instructions; handle problems involving a few concrete variables.
- Knowledge of computers and relevant software applications.
- Ability to understand and follow written and verbal direction.
- Attention to detail and accuracy.
- Ability to manage and maintain security of confidential data and information.
- Ability to exercise independent and sound judgment.
- Cultural awareness of and sensitivity to Kickapoo traditions, religious beliefs and way of life.
- Strong organizational skills and attention to detail.
- Proficient in inventory management software and Microsoft Office Suite.
- Ability to lift heavy items and operate warehouse equipment as needed.
- Strong communication skills and ability to work collaboratively in a team environment.
This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
Education / Experience RequirementsMinimum Qualifications: High School Diploma or GED, must pass required background check.
Preferred Qualifications: Associates Degree or 3 years of experience or knowledge directly related to the duties and responsibilities specified above and perpetual/physical inventory.

Special Certifications Required- Must have a valid Texas State Driver’s license and must be insurable.
- Must adhere to Personnel Policies and Alcohol Policies.
- Regularly required to sit and use hands to finger, handle, or feel objects, tools or controls.
- Frequently required to reach with hands and arms.
- Occasionally required to stand, walk, stoop, kneel, crouch or crawl.
- Occasionally required to lift and/or move up to 50 pounds.
- Specific vision abilities required: close vision, distance vision, peripheral vision and depth perception.
- Must communicate effectively in person or using telecommunications equipment.
- Must have hand‑eye coordination and manual dexterity to operate hand and power tools and machinery.
- Routinely works in outside weather conditions.
- Occasionally exposed to dirt, dust, smoke, toxic materials, air contaminants, noise, humidity, temperature extremes and working at heights.
- Work environment can occasionally be stressful.
- May require standing for extended periods and occasional lifting of heavy inventory items.
- Will work in a warehouse or storage environment with regular interaction with HVAC technicians and suppliers.
Requires successful completion of a background investigation that includes a fingerprint‑based criminal history search.
