We are seeking a motivated, organized, and friendly Administrative Assistant to join our manufacturing team. While this is an office-based administrative role, it plays a critical part in supporting our manufacturing operations and ensuring customer orders move smoothly from intake to production and delivery.
This position requires someone who enjoys interacting with customers, managing multiple priorities, and being a key communication link between customers, the office, and the production floor. As a small manufacturing company, we value team members who are adaptable, proactive, and willing to take on a variety of responsibilities as business needs evolve.
The ideal candidate will possess strong customer service skills, bookkeeping experience with Quick Books, excellent organizational abilities, and the confidence to communicate effectively with both customers and production staff.
Responsibilities- Serve as the primary point of contact for customers via phone, email, and in-person interactions.
- Process incoming orders and ensure accurate entry into company systems.
- Coordinate and schedule production jobs based on customer requirements and manufacturing capacity.
- Communicate customer orders, changes, and special requests to the production team.
- Provide customers with order updates, shipping information, and general support.
- Schedule incoming and outgoing shipments and coordinate with carriers.
- Perform bookkeeping functions, including managing accounts, balancing records, and maintaining accurate financial information using Quick Books.
- Assist with inventory tracking and inventory-related administrative tasks.
- Maintain organized filing systems and company records.
- Create and distribute emails, correspondence, reports, and other business documents.
- Support daily office operations and assist with a variety of administrative and operational tasks as needed.
- High school diploma or GED required;
Associate degree or administrative training preferred. - Previous experience in an administrative, customer service, office management, or manufacturing support role preferred.
- Quick Books experience required.
- Strong customer service skills with a professional and friendly demeanor.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Experience working in a manufacturing, production, logistics, or order-processing environment is a plus.
- Self-motivated, dependable, and comfortable wearing multiple hats in a small business environment.
