JOB SUMMARY

The Facility Maintenance Manager is responsible for overseeing all facility maintenance and custodial operations to ensure safe, compliant, and efficient building operations. This role provides direct supervision of maintenance, home repair, and custodial staff; manages life safety and building code compliance; oversees asset and infrastructure management; and serves as a key on-site responder during emergencies. The Facility Maintenance Manager works closely with the Safety & Compliance Manager to support emergency preparedness, life safety, emergency drills, reporting, and operational continuity.

ESSENTIAL DUTIES AND RESPONSIBILITIES Maintenance and Custodial Leadership
  • Develop, implement, and enforce maintenance and custodial policies and procedures for all interior and exterior facility areas, ensuring the highest standards of cleanliness, safety, and aesthetic.
  • Oversee daily custodial operations, managing landscaping, conducting regular site inspections to proactively identify, address, and delegate maintenance needs, ensuring all common areas, parking lots, and walkways are free from debris, safe, and welcoming.
  • Directly supervise custodial and maintenance staff, including hiring, training, scheduling, and performance management.
  • Oversee the Home Repair Program, providing leadership and supervision to program staff; ensuring effective implementation of services; and developing, updating, and enforcing program policies and procedures to maintain compliance, quality standards, and operational efficiency.
  • Assign work, manage schedules, and ensure adequate after-hours and emergency coverage.
  • Conduct regular team meetings and provide ongoing training to maintain high standards of safety, efficiency, and service.
  • On-call availability for emergencies, evenings, holidays and weekends.
Life Safety & Regulatory Compliance
  • Ensure Fire Code compliance and manage life safety systems and documentation.
  • Maintain compliance with applicable building codes and regulatory requirements.
  • Coordinate, conduct, and document building inspections.
  • Manage building access systems to support safety and security.
  • Maintain and update Safety Data Sheets (SDS) and conduct required SDS training.
  • Oversee onsite medical waste management in compliance with regulations.
Emergency Preparedness & Response
  • Schedule and conduct emergency drills and provide findings and recommendations to the Safety & Compliance Manager.
  • Serve in a boots-on-the-ground emergency response role during emergency incidents.
  • Coordinate after-hours and emergency service responses.
  • Support corrective actions based on drill outcomes and incident reviews.
Asset & Infrastructure Management
  • Manage facility assets and infrastructure, including
  • Preventive maintenance programs.
  • Equipment tracking and documentation.
  • Capital replacement planning.
  • Warranty tracking and management; and
  • Asset lifecycle analysis and replacement forecasting.
  • Ensure reliability, safety, and longevity of building systems and equipment.
Systems & Reporting
  • Manage the Computerized Maintenance Management System (CMMS).
  • Ensure accurate work order processing, asset records, and preventive maintenance schedules.
  • Analyze CMMS data and provide regular reports on maintenance activity, costs, and trends.
  • Ensure timely and high-quality completion of maintenance and repair tasks.
Vendor & Contract Management
  • Manage vendors and contractors providing maintenance, custodial, and specialty services.
  • Coordinate service schedules and monitor vendor performance.
  • Ensure vendor compliance with safety, regulatory, and contract requirements.
