Hourly Pay Range
$23.24 - $34.86 - The hourly pay rate offered is determined by a candidate's expertise and years of experience, among other factors.

1301 Central Street, Evanston, IL - Full Time
- Hours:
Monday-Friday, 9:00am - 5:00pm - Required Travel:
Occasional local travel may be needed for department support. - Onsite Position
The Administrative Assistant III will provide advanced administrative support to the Marketing & Communications executive team. This role requires a high level of professionalism, discretion, and the ability to handle complex tasks in a dynamic healthcare environment.
What You Will Do- Serve as the primary point of contact for the Marketing & Communications VPs, managing calendars, correspondence, executive communications, and scheduling priorities.
- Process invoices, monitor spending, maintain budget trackers, department vendor contract records and support budget administration for the Marketing & Communications leadership team.
- Manage department communications, team meetings, leadership meetings, off-sites, and event logistics.
- Coordinate and manage appointments, meetings, and conference calls, ensuring the efficient use of their time.
- Draft, edit, and proofread executive-level emails, memos, reports, and other documents.
- Ensure all communication is professional and reflects the executive team's voice and objectives.
- Generate and compile reports, data analyses, dashboards and presentations for executive decision-making.
- Collaborate with executives on special projects and strategic initiatives, conducting research, data analysis, and presenting findings.
- Oversee office operations and supplies, ensuring smooth day-to-day functioning.
- Assist in the onboarding of new team members and contribute to their training.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Education:
Bachelor’s Degree Preferred - Certification: n/a
- Experience:
3 years administrative experience, preferably in a healthcare, marketing or hospital setting is required. - Unique or Preferred
Skills:
Comfort with emerging technologies, including use of AI (specifically Google Gemini). - Experience with video conferencing tools such as Webex or Teams.
- Familiarity with using Microsoft 365 Suite.
- Experience with enterprise tools such as Workday, SAP and Service Now.
