Sola Academy by Fusion, an ISBE-approved therapeutic day school serving students with disabilities in grades 6–12, has an opening for an Office Manager.
This position provides a celebrity experience for all students, families, staff, and visitors through exceptional customer service, campus operations, compliance management, communication, and campus safety. The Office Manager serves as the operational hub of the school, ensuring that the campus is welcoming, organized, compliant, and aligned with Sola Academy and Fusion standards.
What You'll Do:- Support campus operations to ensure School Quality (SQ) and operational standards are met or exceeded.
- Participate as a member of the campus leadership team and support annual and quarterly strategic planning initiatives.
- Maintain accurate student records, enrollment statuses, transfers, and graduation documentation in Salesforce and other school systems.
- Ensure alignment with campus priorities, operational systems, and organizational values.
- Maintain campus aesthetics and brand standards, creating a welcoming and professional environment for students, families, and staff.
- Coordinate facility needs, seasonal campus refreshes, and general upkeep with facilities partners.
- Support planning and execution of major campus events, including Back-to-School Night, Parent ---Orientation, Parent-Teacher Conferences, Graduation, and Teacher Appreciation Week.
- Maintain the campus calendar and coordinate logistics for school events and activities.
- Monitor student well‑being and communicate safety concerns to appropriate team members.
- Maintain awareness of student safety plans, Behavior Intervention Plans (BIPs), and medical plans and support implementation as appropriate.
- Create and distribute monthly campus newsletters and family communications regarding events, schedules, and important updates.
- Manage campus compliance documentation, cumulative records, transcripts, IEPs, BIPs, medication records, emergency contacts, and permanent student files.
- Complete required safety drill documentation and maintain campus emergency preparedness records.
- Manage medication logs and secure storage procedures.
- Track campus devices and maintain accurate inventory of school assets.
- Monitor and respond to campus email inboxes and inquiries in a timely manner.
- Manage front desk operations, visitor management systems, student and staff identification processes, and campus sign‑in procedures.
- Coordinate procurement of devices, supplies, resources, business cards, and other campus materials.
- Support staff with purchasing and reimbursement processes.
- Provide exceptional customer service and ensure every visitor receives a welcoming first impression

- Bachelor's Degree required
- Minimum of 2 years of experience in office administration, school operations, customer service, or related field.
- Strong organizational and project management skills.
- Experience maintaining confidential records and compliance documentation.
- Proficiency with Microsoft Office, Google Workspace, and database systems.
- Ability to multitask and prioritize responsibilities in a fast‑paced environment.
- Accountable and highly detail‑oriented.
