Senior Program Coordinator

The Major Gifts team plays a critical role in achieving these ambitious fundraising goals by cultivating meaningful donor partnerships that advance Kellogg's strategic vision. Reporting to the Senior Managing Director, the Senior Program Coordinator provides high-level operational, administrative, and project management support for Kellogg Alumni Relations and Development's major gifts team.

This position coordinates principal gift and campaign activities, prepares donor briefings and performance reports, manages fundraising data and reporting, supports strategic planning and prospect management efforts, and coordinates campaign-related events. Working collaboratively with development leadership, stewardship, and prospect management teams, the Senior Program Coordinator helps advance fundraising priorities through effective project coordination, data management, and process improvement.

Specific Responsibilities:

  • Administration & Events
  • Oversees & ensures that day-to-day operations are appropriately managed, efficient and effective for major gifts and campaign initiatives.
  • Prepares briefing materials, donor profiles, and meeting collateral for principal gift meetings with the Dean.
  • Coordinates scheduling, agenda development, and meeting materials for campaign committee meetings.
  • Develops, maintains & reports on quantitative and qualitative performance measures to support fundraising activities.
  • Produces reports and dashboards for principal gift meetings with the Dean.
  • Prepares campaign committee reports and related analytics.
  • Assists the Director of Stewardship with major gift stewardship reporting and donor impact documentation.
  • Maintains donor data and database records related to principal and major gift prospects, ensuring accuracy and data integrity.
  • Manages fundraising event details including communication and logistics are arranged and completed in an appropriate and timely manner.
  • Supports planning and execution of fundraising campaign events, including logistics, communications, materials, and follow-up activities.
  • Coordinates with internal and external stakeholders to ensure successful event delivery.
  • Strategic Planning
  • Reviews plans, meets with leadership & key faculty & staff.
  • Supports leadership in developing and monitoring strategies for principal gift prospects to align with fundraising priorities and organizational resources.
  • Assists with prospect research and helps prepare donor briefings and background materials.
  • Partners with the Associate Director of Prospect Management to coordinate portfolio reviews, analyze prospect activity, and prepare related reports.
  • Provides recommendations and/or changes/improvements to functional operations to better meet organizational needs and objectives.
  • Identifies opportunities to improve workflows, reporting processes, and database management.
  • Develops recommendations that strengthen operational effectiveness and support departmental goals.

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
  • 2 years program/project administration or other relevant experience.

  • Demonstrated ability to coordinate multiple projects and priorities simultaneously, establish timelines, manage competing deadlines, and ensure successful completion of operational and fundraising initiatives.
  • Knowledge of data analysis and reporting methods with the ability to collect, interpret, and present quantitative and qualitative information to support strategic decision-making and fundraising activities.
  • Excellent written, verbal, and interpersonal communication skills with the ability to prepare high-quality reports, briefing materials, meeting agendas, and correspondence for leadership and key stakeholders.
  • Ability to build and maintain effective working relationships with colleagues, leadership, alumni, volunteers, and external partners while working collaboratively across functional teams.
