The Religious Education Administrative Assistant provides administrative and operational support to the Director of Religious Education. This role ensures the efficient management of student records, sacramental documentation, communication systems, and program logistics. The position requires strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a deadline-driven parish environment.

Essential Duties & Responsibilities

Administrative & Office Management
  • Maintain accurate student and family records
  • Manage registration processes and databases
  • Track sacramental requirements and eligibility
  • Track service hours, retreat attendance, and formation completion
Financial Administration
  • Track tuition payments and outstanding balances
  • Prepare billing statements and payment reminders
  • Ensure all tuition payments and sacramental fees are current
Sacramental
  • Collect and verify sacramental certificates and required documentation
  • Maintain confidential and accurate sacramental records for parish archives
  • Prepare lists for sacramental liturgies (names, certificates, worship aids)
  • Coordinate logistics for retreats, meetings, and sacramental liturgies
  • Maintain accurate records for students who are in the OCIC/OCIA program
Communication & Coordination
  • Demonstrates professionalism, clarity, and responsiveness in all interactions.
  • Ensures clear, consistent and accurate information flow between Director, families, catechists, parish staff, and volunteers.
  • Drafts clear, accurate, and professional written correspondence
  • Maintains organized communication records and email management
  • Ensures sacramental information (retreat dates, rehearsal times, documentation deadlines) is communicated accurately
  • Maintains updated contact lists and distribution groups
  • Demonstrates discretion and professionalism in sensitive situations
Qualifications
  • Practicing Catholic in good standing who supports the teachings and mission of the Church
  • Minimum 5 years' administrative experience preferred in a religious education setting
  • Strong proficiency in Microsoft Office and database systems
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality
  • Ability to work independently and collaboratively
Reports To
  • Director of Religious Education & Evangelization
Status
  • Part-Time 15 hours per week
  • Workdays:
    Tuesday, Wednesday & Thursday
  • Some evenings and weekends required during sacramental and registration seasons.

This position has an hourly range of $16.20 - $18.00. An employee's pay within the range will be based on many factors including but not limited to relevant education, qualifications, experience, skills, geographic location, and organizational needs.
