Overview

.
- Provide general administrative and clerical support to Operations, Warehouse, and Dispatch teams.
- Manage incoming and outgoing mail, including sorting, distribution, and post office drop-offs.
- Maintain office supplies inventory, restocking as needed to ensure all locations are fully equipped.
- Request and distribute Scan Gear for staff (s, t-shirts, hoodies, caps, pens, notebooks).
- Maintain and update the Office Outlook Calendar, including PTO tracking, staff birthdays, and internal events.
- Assist with planning and organizing employee engagement events, such as birthdays, holiday parties, and team-building activities.
- Review invoices, submit for manager approval, and coordinate payment through the Accounts Department.
- Approve invoices in Concur and follow up with vendors as needed to ensure timely payments.
- Serve as the primary point of contact for office vendors and service providers.
- Maintain overall office cleanliness, functionality, and readiness for daily operations.
- Handle minor maintenance requests (installing light fixtures and whiteboards).
- Ensure the office mailroom is tidy and stocked with supplies such as copy paper.
- Check warehouse deliveries and distribute packages to departments.
- Maintain coffee machines and other shared office equipment.
- Collaborate with team members to ensure smooth operations.
- Perform ad-hoc tasks as assigned to support overall company operations.
- Maintain a professional and friendly demeanor when interacting with clients, visitors, and staff.
- Follow all company policies and procedures related to safety and operations.
- Minimum 2 years of experience in office administration, administrative support, or a related role.
- Proficiency in Microsoft Office Suite (especially Outlook, Excel, and Word).
- Familiarity with Concur or similar expense and invoice management platforms is a plus.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong attention to detail to ensure accuracy in documentation and processes.
- Consistent, reliable, and punctual attendance for all scheduled shifts.
- Able to lift up to 50 lbs repetitively during each shift.
- Able to stoop, stretch, twist, bend, etc.
- Consistent, reliable, and punctual attendance for all scheduled shifts.
- Must be eligible to work in the United States.
- Must pass TSA eligibility screening.
Job Types: Full Time
Salary: $20.00 - $28.00 per hour
Expected hours: 40 per week
