About the Role
The Traffic & Creative Operations Specialist plays a central role in keeping our agency running smoothly. This position is responsible for managing creative traffic, supporting day-to-day workflow, and helping maintain the operational systems that enable our teams to deliver consistently and on time. This role is ideal for someone who thrives in high-output agency environments, is highly organized, and enjoys balancing detailed daily execution with broader operational support responsibilities.
Key Responsibilities
Traffic & Workflow Management- Own day-to-day traffic management for creative and production projects in a high-volume agency environment
- Intake, prioritize, schedule, and route work across creative, production, and account teams
- Monitor workloads, capacity, deadlines, and dependencies to ensure projects stay on track
- Proactively identify scheduling conflicts or bottlenecks and recommend solutions
- Manage and maintain projects within Wrike (or a similar project management platform), ensuring accuracy, consistency, and visibility
- Escalate potential issues or delays to keep projects on track
- Partner with team leads to refine workflows, templates, and processes within the project management system
- Maintain project data integrity, timelines, and status reporting
- Support broader creative operations initiatives, including process documentation, reporting, cross-departmental collaboration and continuous improvement efforts
- Use critical thinking to resolve resourcing and project priority conflicts
- Assist with operational and administrative tasks that support agency efficiency and scalability
- Help enforce standard operating procedures and best practices across teams
- Serve as a central point of coordination between creative, production, and account
- Communicate timelines, priorities, and changes clearly and confidently
- Support leadership with visibility into workload, capacity, and project status
- Monitor process performance and lead continuous improvement activities
- 3–8 years of experience in a fast-paced advertising or marketing agency
- Proven experience in high-volume agency environments managing multiple concurrent projects
- Hands-on experience with Wrike or similar project management tools
- Exceptional organizational skills and attention to detail
- Strong ability to juggle daily execution with longer-term operational responsibilities
- Clear, confident communicator who can work across multiple teams and personalities
- Comfortable working in an in-office, collaborative environment
- Experience supporting creative or production teams
- Familiarity with agency workflows, resourcing, and traffic management best practices
- Process-oriented mindset with a passion for efficiency and continuous improvement
