Job Overview
We are seeking a highly organized and proactive Firm Operations & Client Services Manager to support the day-to-day operations of our growing public accounting firm. This role blends project management, office leadership, administrative oversight, and executive support, serving as a key partner to firm leadership.
The ideal candidate thrives in a fast-paced, professional services environment and has the ability to manage priorities across client service delivery, internal operations, and leadership support.
Primary Responsibilities- Project & Workflow Management
- Lead and manage internal firm projects (process improvements, system implementations, seasonal initiatives)
- Coordinate deadlines and workflows across tax, audit, and accounting services teams
- Monitor project progress, identify bottlenecks, and drive accountability
- Implement and maintain project tracking tools, dashboards, and reporting
- Administrative & Client Service Support
- Ensure accurate and timely processing of client deliverables (reports, filings, correspondence)
- Assist with CRM/database management and data integrity
- Support billing and collections coordination with accounting/partners
- Maintain and improve operational processes and procedures
- Executive Support
- Provide direct support to Managing Partner and leadership team
- Prepare regular project status reports for firm leadership
- Assist with strategic initiatives and special projects
- Act as a liaison between leadership and staff to ensure alignment and follow-through
- Process Improvement & Firm Growth Initiatives
- Identify opportunities to streamline workflows and improve efficiency
- Drive adoption of new tools, technologies, and best practices
- Help develop scalable processes as the firm grows
- Bachelor’s degree in business, Management, Accounting, Finance, or a related field
- 4+ years of project management experience, preferably in a professional services or CPA firm environment
- Strong organizational and time management skills with the ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Proficiency in project management and workflow tools (e.g., practice management software, Microsoft 365, or similar platforms)
- Experience working in a CPA firm, accounting firm, or professional services environment
- Familiarity with tax, audit, or accounting workflows and seasonal deadlines
- Experience with process improvement or change management initiatives
- Attention to detail and strong follow-through
- Ability to work effectively with partners, managers, and staff at all levels
- Problem-solving mindset with a focus on continuous improvement
- Ability to manage deadlines in a fast-paced, deadline-driven environment
- Discretion and professionalism when handling client and firm information
