Description & Requirements
The Transportation Administrator provides administrative and operational support to the Transportation Department to ensure efficient daily transportation operations. This position is responsible for coordinating driver paperwork, maintaining transportation records, assisting with route documentation, monitoring compliance requirements, processing invoices, and serving as a liaison between drivers, warehouse operations, customer service, and management. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced distribution environment.
- Provide administrative support for the Transportation Department and Transportation Manager.
- Prepare, organize, and maintain driver files, trip documentation, manifests, and delivery records.
- Process and reconcile transportation invoices, fuel receipts, toll charges, and other transportation-related expenses.
- Maintain accurate records for DOT compliance, vehicle inspections, licensing, permits, and driver qualifications.
- Coordinate daily communication with drivers regarding routes, schedules, paperwork, and delivery issues.
- Assist with scheduling and tracking preventive maintenance and repairs for company vehicles.
- Monitor and update transportation reports, key performance indicators (KPIs), and department metrics.
- Enter and maintain transportation data within the Transportation Management System (TMS), ERP, and other company software.
- Support customer service by providing shipment status updates and resolving delivery documentation issues.
- Coordinate with warehouse operations to ensure timely shipment departures and accurate delivery documentation.
- Prepare reports related to driver productivity, mileage, fuel usage, and delivery performance.
- Assist with payroll-related functions including reviewing driver timecards, mileage, and payroll documentation.
- Maintain confidential employee and transportation records.
- Order and maintain transportation office supplies and forms.
- Participate in transportation meetings and assist with continuous improvement initiatives.
- Perform other administrative and operational duties as assigned.

Physical Requirements
- High school diploma or GED required;
Associate's degree preferred. - Minimum of 2 years of administrative experience, preferably in transportation, logistics, or distribution.
- Experience working in a warehouse or distribution environment is preferred.
- Strong knowledge of Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Experience with ERP systems, Transportation Management Systems (TMS), or fleet management software is preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with professionalism.
- Ability to prioritize multiple tasks while meeting deadlines.
- Strong attention to detail and problem-solving skills.
- Ability to sit for extended periods while working on a computer.
- Occasionally lift up to 25 pounds.
- Ability to walk through warehouse and transportation yard as needed.
- Ability to perform work in both office and warehouse environments.
