Job Summary

Responsible for supporting the day-to-day operations of a school office to ensure efficient functioning and a safe, productive learning environment.

Job Responsibilities
  • Act as the communication liaison, providing assistance via phone, electronic, and in-person to staff, students, parents, district personnel, and community members.
  • Maintain and reconcile budgets and financial records, process and track monies to ensure fiscal compliance.
  • Order, process, and maintain accurate records of materials directed by the building administrator, ensuring adequate supplies, equipment, and educational resources.
  • Process requests for intermittent repair and maintenance of building equipment to maintain a safe environment.
  • Compile, prepare, and submit required and/or directed reports to support staff, building administration, district personnel, and state compliance.
  • Maintain student records (registration, transfers, student information, etc.) in compliance with the Illinois Student Records Act.
  • Assist in monitoring student behavior to support a safe learning environment.
  • Manage the building calendar and assist with the coordination of events and activities.
  • Maintain the substitute system and assist substitute teachers as needed.
  • Participate in professional development and in-service sessions to grow professionally and meet district requirements.
  • Maintain confidentiality and handle sensitive information with discretion.
Minimum Requirements
  • High School diploma or equivalent.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with students, staff, parents, and the public.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of accounting principles and budgeting practices is a plus.
  • Ability to maintain records and prepare reports.
  • Ability to make decisions in accordance with established policies and regulations.
  • Ability to type and file rapidly and accurately.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, etc.), Google Workspace, and Quicken.
  • Ability to work collaboratively.
  • Conscientious about attendance and punctuality.
Physical Requirements
  • Regularly required to talk, hear, stand, walk, sit, and use hands and arms to handle, feel, and reach. Occasionally required to stoop or kneel and lift and move up to 25 pounds. Regular attendance on the job is expected.
