Billing Coordinator

Convergint is looking for a full-time, enthusiastic, results driven and forward-thinking Billing Coordinator to join our amazing culture. In this role, you will answer, respond to, and meet the needs of all incoming customer service calls by handling these calls in a professional, efficient, effective and timely manner ensuring Convergint Technologies becomes the customers' first choice for service. This role provides coordination of projects and service with technicians, sub-contractors and customers within designated Convergint Technology Center (CTC) location.

Prepare and issue invoices for projects and service work (time & materials, fixed fee, recurring services)

Manage project documentation, including COIs, waivers, lien releases, and AIA billing requirements

Manage recurring billing, contracts, renewals, and billing adjustments

Ensure billing aligns with contract terms, pricing schedules, and milestones, and complies with company guidelines, tax rules, and customer playbook

Work closely with project managers to track project progress and billing milestones

Adjust billing based on contract changes, renewals, or usage

Serve as a point of contact for billing inquiries and communicate with clients regarding invoices, payment terms, and discrepancies

Resolve billing discrepancies, errors, or disputes by collaborating with clients and internal teams (sales, operations, services, and administration)

Collaborate with accounts receivable and collections teams to ensure customer payments

May provide support and backup for other areas of the business. May handle calls after hours.

May participate in quality assurance calls/inquiries to customers as needed.

Completes projects and special assignments by determining priorities, managing time, and making adjustments to plans.

Performs other duties and responsibilities as requested or required.

Exceptional telephone and personal customer service skills and ability to work under pressure.

Excellent Microsoft Outlook, Excel, and Word skills.

Basic financial knowledge and skills-ability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc.

Solid organizational skills and the ability to handle multiple projects tasks simultaneously.

Excellent attention to detail.

Strong verbal, written and interpersonal communication skills.

Strong flexibility to adapt to changing priorities and direction in a dynamic work environment.

Shows initiative - regularly engages in proactive behavior and looks for opportunities.

Strong ability to facilitate a collaborative working environment for customers and team members.

Education:

College degree, trade school or equivalent experience

Diploma and/or certificate in Business Administration or related office experience

Preferred Experience:

Dispatch and customer service training

Previous call center, dispatch, or administrative experience

Experience in a construction industry environment
