Description
Job SummaryThe Dental Patient and Insurance Coordinator plays a vital role as a key point of contact between patients, providers, and insurance companies. This administrative position is to support a team of dental professionals and work cohesively alongside them. You will be expected to assist patients with their needs, verify dental benefits, reconciling outstanding insurance and patient AR, obtaining pre-authorizations, and helping patients understand treatment plans and financial responsibilities.
The ideal candidate provides exceptional customer service while maintaining accuracy, compliance, and efficiency.
* Insurance coordination will be dedicated time given to you by office manager*
Key Responsibilities Patient Coordination- Greet and assist patients in person, by phone, and electronically
- Schedule dental appointments, procedures, and follow-ups
- Review treatment plans with patients and explain insurance coverage and out-of-pocket costs
- Collect and verify patient demographic and dental insurance information
- Maintain a welcoming, professional, and patient-centered environment
- Verify dental insurance eligibility, benefits, and coverage
- Obtain pre-authorizations for dental procedures when required
- Submit dental insurance claims accurately and in a timely manner
- Enter insurance payments with accuracy into patients account
- Track claims, follow up on unpaid or denied claims, and resolve discrepancies
- Explain dental billing statements, payment options, and financing plans to patients
- Maintain accurate and confidential patient records in compliance with HIPAA
- Coordinate with dentists, hygienists, and clinical staff to ensure accurate documentation
- Manage referrals to specialists and track insurance requirements
- Collect co-payments and outstanding balances at time of service
- Assist with front desk operations and daily office workflows
- High school diploma or equivalent
- Experience in a dental office (Terminology, procedures, verbage, etc)
- Knowledge of dental insurance plans (PPO, HMO, self-pay)
- Strong customer service and communication skills
- Excellent attention to detail and organizational abilities
- Experience with dental practice management software Eaglesoft
- Familiarity with CDT codes
- Experience with treatment plan presentations and insurance estimates
- Multi-specialty knowledge (Pediatric, endo, perio, ortho)
- Ability to explain complex insurance information clearly to patients
- Critical thinking - problem-solving and follow-up skills
- Professional, friendly, and empathetic demeanor
- Ability to multitask in a fast-paced dental environment
