Overview
The Retail Facilities Coordinator (RFC) is responsible to ensure that the retail store locations are maintained in a condition that represents our brand positively to both our team members and customers, that the facilities are safe and secure for our team members and customers, and that the facilities are maintained in accordance with lease agreements and all governmental rules and regulations through the most efficient use of resources both internal and commercially available.
RFC will be responsible for performing the day‑to‑day tasks by addressing routine break/fix repairs, emergencies, and city violations that arise within the retail stores. Requests for repairs will be received via phone calls, emails, and the Maintenance and Repair System (MARS) in a first‑come, first‑served queue method. Success in this role will have a positive impact on customer experience, team‑member morale, and store profitability.
Job Functions
The Retail Facilities Coordinator oversees all routine break‑fix repairs for the stores or submits larger repairs/replacements to the Senior Coordinator queue. The RFC initiates, oversees, and executes facility maintenance routine break‑fix repairs in a cost‑effective and timely manner. They provide cost per repair, define scope of works and repairs, and are responsible for all internal and external communication. The RFC must facilitate aspects of break‑fix repairs, coordinate those repairs, and execute asset protection and facility sustainment through procedures that include preventative maintenance programs, both temporary and permanent break‑fix repairs.
They receive repair requests via email, phone calls, or MARS, process the service request to determine responsibility by reviewing leases, exhibits, and warranty timelines within Lucernex/MARS to delegate to the appropriate party. When O’Reilly is responsible for repairs and costs, the RFC reviews each request, identifies needs, establishes scope, and procures contractors/trades. They generate work orders for approved vendors, outlining scope of work, completion date, and setting Not To Exceed pricing.
Work that requires additional investigation or in-depth evaluation is submitted to the Senior Coordinator queue for resolution. They check “work complete” within MARS, oversee, follow up, and communicate throughout the process utilizing MARS dashboard and query reporting. Items essential to the maintenance and repair process include knowledge of facility ownership, lease duration, tenant/owner responsibility, and city codes/restrictions, as well as effective interface with other departments, jurisdictions, contractors, and field operations to ensure repairs are completed.
- Effectively communicate, prioritize, organize, and manage time within a continually changing workload.
- Maintain versatility and flexibility while keeping accurate records to ensure all needs are properly met.
- Follow up, review completion, and monitor contractor performance as part of quality assurance practices.
- Process all MARS requests, from service request to work order.
- High school diploma with 2‑4 years of construction, maintenance, HVAC, electrical, or related trades experience.
- Good people skills and excellent customer service.
- Ability to multi‑task, possess proven dependability and reliability.
- Basic knowledge of computers, including Word, Excel, E‑mail, Internet, and database systems.
- High school diploma with 3‑5 years of construction, maintenance, HVAC, electrical, or related field experience.
