The Executive Assistant provides full administrative support to senior leaders and their teams at Wintrust, ensuring smooth daily operations and effective information flow.
Responsibilities- Guest
Experience:
Deliver an exceptional welcome for the executive suite, present a polished image, maintain business attire, and uphold strict confidentiality. - Meeting Coordination:
Reserve rooms and hotel office space; set up audio/video equipment, order meals, attend meetings to monitor room devices, collaborate with tech teams, and manage room calendars; prepare for early 7:30AM meetings as needed. - Agenda Management:
Coordinate, circulate, and document multiple meeting agendas; attend meetings to create minutes. - Collaboration and Communication:
Liaise with support groups such as Tech Support, Corporate Real Estate, Security Guards, and Building Management; respond to general office inquiries; distribute mass communications; draft, edit, and proofread correspondence and PowerPoint presentations. - Office Management:
Oversee daily office operations; maintain supplies, cleanliness, organization; develop procedures for mail, badge access, maintenance requests, and facility needs. - Website Management:
Update internal SharePoint sites for teams. - Travel, Expense, and Invoice Management:
Track expenses, process invoices, make travel arrangements for executives, and complete expense reports. - Other:
Provide additional administrative support and special projects as assigned.
- 5–7 years of relevant experience.
- Track record of meeting pre-established timelines without compromising quality.
- Proactive calendar management for senior leadership.
- Expertise in coordinating seamless logistics for meetings and presentations, including venue booking and material preparation.
- Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint).
- Background in the financial industry is a plus.
- High degree of personal integrity and trustworthiness with senior leadership and stakeholders.

The estimated hourly rate for this role is $28.37–$40.87 and is eligible for an annual bonus. Compensation may vary based on qualifications, skills, and experience.
