Customer Service Rep, Event Manager / Planner
This opportunity is an in‑person position located in downtown Chicago at the Sheraton Grand Chicago Riverwalk at 301 East North Water Street, Chicago, IL 60611.
Act as a supporting cast member in the Client Services Department. Assist the Client Services Team with their day‑to‑day duties and support the Senior Leaders of the Team. Reports directly to the Associate Director of Client Services/Director of Client Services.
Responsibilities- Develop Exhibitor Kit manuals, including show schedule information, pricing models, freight details and customer/facility‑provided forms and work with the team to prepare the final electronic manual for our exhibitors.
- Handle exhibitor list entry and subsequent updates, edits and changes.
- Create and manage show details in the GES CORE system, ensuring all show details are added and managed consistently and accurately.
- Write, process and manage Show Organizer work orders as necessary on assigned events.
- Attend show management, operations and Show Planning meetings to ensure follow‑up on action items and effective communication between departments.
- Perform Client Services Representative functions as outlined in standard operating procedures.
- Perform other assigned tasks in all GES applications pertaining to Client Services functions.
- Act as a liaison with show management, venue contacts and production personnel with regard to all services.
- Audit recurring Show Organizer invoices, ensuring all company‑mandated policies are adhered to in regards to billing, pricing and contractual discounting.
- Partner with City Finance teams to prepare and manage monthly show financial reporting Excel tools.
- Assist the Client Services Manager at show site as needed by handling a specific area or function, order entry, updating the official invoice and assisting with association needs.
- Serve as the in‑house contact for the Client Services Manager while they are at show site.
- Produce miscellaneous or small projects as needed.
- Perform other duties as assigned and deemed necessary by the Associate Director of Client Services/Director of Client Services.
- College degree preferred.
- Two (2) years’ experience in the tradeshow, convention, hospitality industry or special event planning preferred.
- Good oral and written communication skills.
- Good organizational skills.
- Requires ability to adapt to multiple settings and shifting responsibilities.
- Must be able to work under pressure.
- Opportunity to work nights, weekends and at show sites.
- Position may require long hours during several months of the year.
- Typically performs work on the event floor, in noisy and crowded areas.
- Frequently encounters uncomfortable temperatures, dust or other conditions.
- Requires working both alone and with others in a team atmosphere.
- Requires working with union and non‑union employees.
$24.00 per hour. The pay range and actual offers are based on a variety of individualized factors including skills, qualifications, experience, location and role‑specific competencies. Some positions may also offer additional earnings such as bonuses, incentives or commissions. Salary is only one part of the full value and perks of working with GES.
