The Maintenance Planner supports the Utilities Manager & Facilities Manager, ensuring that preventive, corrective, and predictive maintenance activities are planned and coordinated reliably for our clients in the Medical Devices Industry. This role is primarily based in Puerto Rico, with travel to other client sites, including California, as business needs require. The Maintenance Planner uses Service Now and the SAP Maintenance (PM) module to keep facility equipment and utility systems running reliably.

Key Responsibilities

  • Develops and maintains preventive maintenance (PM) schedules for facility and equipment systems.
  • Plans and coordinates corrective maintenance work orders, ensuring timely execution and minimal disruption to operations.
  • Supports predictive maintenance programs, using condition-monitoring data to anticipate equipment needs.
  • Creates, tracks, and closes maintenance work orders using Service Now.
  • Manages maintenance planning and scheduling within the SAP Maintenance (PM) module, using standard SAP PM templates (Maintenance Notifications, Maintenance Orders, Maintenance Plans, Task Lists, and Equipment/Functional Location master data).
  • Coordinates spare parts inventory, forecasting needs, tracking stock levels, and ensuring availability of critical parts.
  • Partners with maintenance technicians, engineers, and operations to prioritize and sequence work.
  • Analyzes maintenance data and KPIs to identify trends and recommend improvements to maintenance strategy.
  • Ensures maintenance documentation complies with cGMP and internal quality requirements.

Operational Expectations
  • Keep preventive maintenance schedules and work orders updated in Service Now and SAP PM.
  • Meet maintenance schedules and site performance metrics.
  • Coordinate promptly with technicians and vendors to ensure availability of critical parts.
  • Accurately and promptly document corrective and preventive maintenance activities.
  • Promptly communicate to supervision any risk or disruption affecting equipment operation.
  • Participate in internal and external audits related to maintenance processes.
Requirements
  • Bachelor’s degree in Industrial, Mechanical, or Electrical Engineering.
  • Minimum of 3 to 7 years of experience in maintenance planning, preferably within a pharmaceutical, medical device, or biotechnology manufacturing environment.
  • Proven experience with Service Now (maintenance/work order module).
  • Proven experience with the SAP Maintenance (PM) module, including standard SAP PM templates such as Maintenance Notifications, Maintenance Orders, Maintenance Plans, Task Lists, and Equipment/Functional Location master data.
  • Demonstrated experience planning preventive, corrective, and predictive maintenance.
  • Experience managing spare parts inventory processes.
  • Strong organizational and analytical skills.
  • Willingness to travel to client sites outside Puerto Rico, as business needs require.
  • Local and federal regulations experience.
  • Familiarity with cGMP-regulated maintenance documentation.
  • Member of the Puerto Rico Professional College of Engineers and Land Surveyors. Must have Engineering in Training (EIT) or Professional Engineer (PE) License (Preferred).
  • Experience in a pharmaceutical, medical device, or biotechnology manufacturing environment (Preferred).
Physical & Environmental Demands
  • Ability to work in mechanical rooms, plant areas, and outdoor spaces as needed to coordinate maintenance work.
  • Extended computer use for planning and documentation in Service Now and SAP.
  • Required use of personal protective equipment (PPE) depending on area and task.
  • Ability to climb stairs and access mechanical/electrical spaces during follow-up inspections.
  • Availability to coordinate or respond to maintenance needs outside regular hours as required.
  • Ability to stand or walk for extended periods during planning rounds.
  • Ability and willingness to travel to client sites outside Puerto Rico, including occasional overnight travel.
