Position SummaryThe Parts Inventory / PM Maintenance Planner is responsible for organizing preventive maintenance work, coordinating parts availability, and supporting efficient maintenance execution across the facility. This role helps reduce equipment downtime by ensuring work orders are properly planned, parts and tools are available before work begins, and maintenance records are accurate and up to date.
Key Responsibilities- Plan, schedule, and coordinate preventive maintenance activities to minimize downtime and support production needs.
- Create, update, and close work orders in the maintenance management system, ensuring labor, parts, tools, instructions, and safety requirements are clearly documented.
- Review equipment history, PM compliance, and maintenance trends to identify opportunities for reliability improvement.
- Manage parts inventory levels, including stock counts, reorder points, critical spares, and obsolete or slow-moving inventory.
- Coordinate with purchasing, maintenance technicians, and operations to ensure required parts and materials are available before scheduled work begins.
- Stage parts, kits, drawings, manuals, and other job materials for planned maintenance work.
- Support emergency repair needs by locating parts, identifying alternates, and helping expedite orders when needed.
- Maintain accurate records for equipment, spare parts, PM tasks, vendor information, and maintenance documentation.
- Assist with planning shutdowns, rebuilds, equipment installs, and other larger maintenance projects.
- Promote safe work practices by ensuring job plans include lockout/tagout, PPE, and other safety requirements where applicable.
- High school diploma or equivalent required; technical degree, trade school, or related certification preferred.
- Experience in maintenance planning, parts inventory, storeroom management, or industrial maintenance preferred.
- Working knowledge of mechanical, electrical, pneumatic, hydraulic, or production equipment maintenance.
- Experience using a CMMS, ERP, inventory system, or similar work order software preferred.
- Ability to read and understand equipment manuals, bills of materials, drawings, and parts lists.
- Strong organizational skills with the ability to prioritize multiple work orders, parts requests, and deadlines.
- Proficiency with Microsoft Office, especially Excel, Outlook, Red Zone, and basic reporting tools.
- Strong attention to detail and accuracy in inventory, documentation, and scheduling.
- Clear communication with technicians, supervisors, production teams, and purchasing.
- Ability to identify missing information and follow up until work orders are ready for execution.
- Problem-solving mindset with a focus on reducing downtime, improving PM completion, and controlling maintenance costs.
- Comfortable working in a fast-paced manufacturing or industrial environment.
- Knowledge of lean manufacturing, 5S, reliability-centered maintenance, or continuous improvement practices is a plus.
Work Environment Requirements
- Work may include time in office, storeroom, maintenance shop, and production areas.
- Must be able to safely walk production areas, inspect equipment locations, and verify parts or job requirements.
- May occasionally lift, carry, or move parts and supplies within company safety guidelines.
- Must follow all company safety, quality, food safety, and housekeeping requirements.
- Improved preventive maintenance completion and schedule adherence.
- Reduced maintenance delays caused by missing parts, unclear work scopes, or incomplete job planning.
- Accurate inventory counts, reorder points, and critical spare parts availability.
- Timely work order updates, documentation, and reporting.
- Improved communication between maintenance, operations, and purchasing.

Location Requirements:
- Please note that relocation assistance is not available for this position. Candidates must currently reside within a reasonable commuting distance of our facility or be willing to self-relocate at their own expense prior to employment.
