The Maintenance Planner & Scheduler is responsible for developing and coordinating maintenance plans that ensure safe, efficient, and reliable facility operations. This role manages the facility’s CMMS system, organizes and maintains maintenance inventory, performs parts kitting for upcoming work, and provides scheduling oversight to optimize labor, equipment uptime, and workflow. The Planner & Scheduler works closely with maintenance technicians, operations leadership, and vendors to ensure maintenance activities are well-prepared, properly resourced, and executed on schedule.
WhatYou’ll Do
- Develop weekly and long-range maintenance schedules based on priorities, labor availability, equipment criticality, and operational requirements
- Review work requests and convert them into well-defined work orders with clear scopes, procedures, labor requirements, tools, and parts
- Coordinate with maintenance leadership and operations to sequence work and minimize downtime
- Track schedule adherence, adjust plans as needed, and communicate changes to stakeholders
- Serve as primary administrator of the CMMS (Computerized Maintenance Management System)
- Ensure accurate entry and updating of assets, PM tasks, work orders, maintenance history, and labor hours
- Generate and analyze CMMS reports to support decision-making, compliance, and continuous improvement efforts
- Maintain data integrity, standard naming conventions, and system workflows
- Organize and maintain the parts inventory system, including labeling, stocking, location management, and cycle counts
- Identify critical spares and ensure proper stocking levels based on equipment needs and lead times
- Work with procurement to source parts, create purchase requests, and track deliveries
- Maintain vendor relationships to support cost-effective and timely parts acquisition
- Execute purchase orders as needed for the department
- Create kits containing all parts, materials, consumables, tools, and documentation required for planned maintenance jobs
- Stage kits in designated areas to ensure technicians can begin work immediately
- Validate part availability in advance of scheduled work and identify shortages or delays
- Improve job readiness by reducing technician wait time and eliminating unnecessary interruptions
- Identify opportunities to enhance scheduling efficiency, inventory accuracy, CMMS usage, and maintenance workflows
- Participate in equipment reliability initiatives and root cause analysis
- Support training of maintenance staff on CMMS usage and work order best practices
- Associate degree in Maintenance Management, Industrial Maintenance, Manufacturing Technology, Engineering Technology, or a related field preferred
- High school diploma or equivalent required
- Equivalent combination of education, technical training, and relevant maintenance experience may be considered
- 3+ years of experience in maintenance planning, scheduling, CMMS administration, inventory management, or a related maintenance support role
- Experience supporting maintenance activities in a manufacturing, industrial, or facility environment
- Experience with CMMS platforms, work order management, preventive maintenance, and maintenance documentation
- Experience coordinating maintenance work, parts, labor, and resources to support equipment uptime
- Experience with inventory or spare parts management, including purchasing, stocking, and tracking of maintenance materials
- Strong organizational skills with the ability to prioritize and manage multiple maintenance activities
- Ability to develop and maintain maintenance schedules based on equipment priorities, labor availability, and production requirements
