Position: Assistant Director of Facilities - University Flats (Student Living)

Job Description Summary

This position plays a crucial role in the management and operation of buildings and services. The person assists the Area Director in overseeing daily operations, coordinating staff, and ensuring the smooth functioning of all facility‑related activities. The role requires a blend of technical knowledge and leadership skills to effectively direct maintenance staff, manage contractors, and oversee projects ranging from routine maintenance to capital improvements.

The goal is to maintain the facilities in optimal condition, aligning with Greystar's mission and objectives.

Job Description Essential Responsibilities
  • Recruit, hire, train, and supervise a team of Lead Maintenance Technicians, Maintenance Technicians, and Maintenance Assistants.
  • Schedule and manage maintenance of buildings located within the area.
  • Verify facilities are well‑maintained, safe, and conducive to student living and learning.
  • Ensure safety and compliance with regulations.
  • Handle long‑range planning to support future needs and growth.
  • Coordinate preventive maintenance, repairs, and upgrades to enhance the overall housing experience.
  • Manage budgets and contracts.
  • Diagnose and perform hands‑on repair/maintenance of the following: major appliances, HVAC, intermediate plumbing and electricity, sheet rock, carpentry, pest control, roof and gutter repairs, wallpaper/painting, landscaping, and any other type of repair work or grounds‑keeping work needed in the area.
  • Organize, prioritize, and ensure all service requests and repairs are made correctly and completed in a timely manner.
  • Make‑ready vacant units in a timely manner that may include but is not limited to painting, carpet replacement/cleaning, etc.
  • Provide swift and effective emergency response during crises such as floods, storms, fires, etc., while prioritizing the safety and well‑being of residents and staff.
  • Adhere to the company’s Loss and Prevention program.
  • Maintain proper purchase order system, competitive bid procedures, maintenance request log, and service repairs.
  • Handle maintenance calls after hours as part of the on‑call rotation for the area.
  • Maintain positive customer relations with parents, students, staff, and outside vendors.
  • Leverage various software systems, including but not limited to Ops Tech, Leonardo
    247, Lenel, Key Trak, Zoom, Foresight, Entrata, and Star Rez.
  • Perform other duties as assigned or as necessary.
  • Organizational Responsibilities
    • Follow established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to the appropriate individual(s).
    • Practice proper safety techniques in accordance with company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to the appropriate individual(s).
    • Identify areas for improvement and offer suggestions to improve efficiency and productivity.
    • Keep abreast of current changes in facilities and operations management, processes, and standards within the industry and area(s) of responsibility by attending internal and external training classes, researching and/or subscribing to the internet or other professional publications, or utilizing other appropriate methods to obtain business and professional information, and applying knowledge and practices to the area(s) of responsibility.

    Physical Demands

    Incumbents are required to stand, walk, and/or sit for extended periods of time with moderate climbing, balancing, stooping, kneeling, crouching, and reaching. Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to 50 pounds independently and 100 pounds with assistance. Ascend and descend multiple flights of stairs, especially in cases of emergencies. Occasional longer than standard work hours due to high demand for events on certain days, holidays, and weekends to address urgent needs.
