Position: Supply Specialist III (61033212)

Job Responsibilities

At Lexington Maintenance, enters work sheets assigning the task codes. Prints work sheets and assign to mechanics. Posts parts to job sheets before closing out service tickets. Prepares, issues, and posts mechanics daily time sheets for Lexington shop. Closes out job sheets. Transfers parts when no labor is involved. Posts parts received from Supply Depot and vendors to inventory. Prints and reviews quantity of inventory for re-ordering of needed vendor supplies.

Prints list of equipment that needs repair in shop and preventive maintenance service. Posts parts on purchase orders and agreements as soon as received (514F). Tracks preventive maintenance schedules to include levels 1-4. Performs monthly close outs. Prepare outside agency report and forwards to accounting in a timely manner. Prints closed service tickets and sign. Maintains filing system for all historical records on equipment repaired by shop.

Receives/Picks up parts from vendors and ensures proper quantity and quality are received. Be sure all purchases are in accordance with state purchasing regulations. Ensures parts are received into stock or put on the proper job sheet. Issues from stock or order parts needed by mechanics or maintenance personnel. Ensures the proper parts manuals/vendor catalogs are available to mechanics for ordering parts and assist them if needed.

Assists to maintain inventory parts and supplies, check stock orders from the DOT Supply Depot, place in proper bin location and clean the stock room. Assists with a manual record of inventory and individual records on all maintenance road workers´ supplies. Approximately 820 repair parts, and 350 miscellaneous parts. Creates requisitions as needed for stock, repair, or emergency parts from DOT Supply Depot, or outside vendors.

Purchase supplies, parts and tools with credit card ensuring all regulations are adhered to. Maintains the accuracy of the monthly fuel report from the district office. Verifies the accuracy of purchase with the monthly fuel report. Answers telephone and two-way radio to order parts, notify maintenance personnel that their equipment is ready for pick up, or assist employees with "break downs" on the roadway.

Works as necessary during inclement or hazardous weather. May be required to work overnight and/or 12 hour shifts.

Minimum And Additional Requirements

A high school diploma and six (6) months of work experience directly related to the area of employment; or an approved acceptable equivalence. A valid motor vehicle operator's license is required.

Additional Comments

May be required to work overtime, nighttime, and/or weekends during hazardous weather or emergencies.
