DIRECTOR OF FACILITY OPERATIONS

Salary Range: $40,000-$60,000 annually, depending on experience

Chesterton Academy of Our Lady of Victory (OLV) is seeking a highly organized, practical, and dependable Director of Facility Operations to oversee the day-to-day operational needs of our school campus. The Director of Facility Operations will be responsible for ensuring that our buildings and grounds are safe, clean, functional, and well-maintained, while coordinating the contractors, vendors, and service providers necessary to keep the school running smoothly.

This is a hands-on position for someone who takes initiative, notices problems before they become larger problems, communicates clearly, and takes ownership of getting things done. The Director of Facility Operations will serve as the primary point of contact for facilities and operational issues that arise on campus and will work closely with the Headmaster and other members of the school leadership team.

KEY RESPONSIBILITIES AND DUTIES Buildings and Grounds
  • Oversee the day-to-day maintenance, cleanliness, safety, and functionality of school buildings and grounds.
  • Conduct regular inspections of the campus and identify maintenance, repair, safety, and improvement needs.
  • Respond promptly to operational issues that arise during the school day.
  • Coordinate routine and preventative maintenance for HVAC, plumbing, electrical, fire and life-safety systems, doors, lighting, grounds, and other building systems.
  • Maintain an organized schedule for recurring inspections, servicing, and preventative maintenance.
  • Ensure that classrooms, common areas, offices, athletic spaces, and outdoor areas are maintained in a safe and functional condition.
  • Coordinate snow removal, landscaping, pest control, trash and recycling, and other grounds-related services.
  • Involvement in planning and coordinating future building projects.
Contractors and Vendors
  • Serve as the primary campus contact for contractors, maintenance companies, and service providers.
  • Schedule and coordinate repairs, inspections, preventative maintenance, and other service calls.
  • Obtain and evaluate estimates and proposals for repairs and projects as directed.
  • Monitor contractor work to ensure that projects are completed properly, safely, and according to agreed-upon specifications.
  • Maintain positive and professional relationships with vendors and contractors.
  • Coordinate access to the campus for outside service providers.
Records & Administration
  • Maintain accurate and up-to-date records of repairs, maintenance, inspections, warranties, service agreements, and major building systems.
  • Maintain a campus facilities calendar for recurring maintenance and inspections.
  • Track open maintenance issues through completion.
  • Maintain documentation related to fire safety, life-safety systems, HVAC, utilities, and other regulatory or operational requirements.
  • Help develop and maintain an annual facilities and maintenance budget.
  • Track operational expenses and provide documentation to the Director of Business Operations as needed.
  • Maintain an accurate inventory of keys, equipment, tools, and other operational assets.
Campus Operations & Safety
  • Serve as the first point of contact for facilities-related emergencies and unexpected operational problems.
  • Respond to urgent issues involving building systems, weather, utilities, safety, or other campus operations.
  • Work with the school's Safety Team and leadership to support emergency preparedness and campus safety procedures.
  • Assist with the implementation and maintenance of school safety and emergency procedures.
  • Coordinate with emergency services, inspectors, and other relevant agencies when necessary.
  • Help ensure that the campus is prepared for school events, Masses, athletic activities, performances, and other special events.

  • Be comfortable working in a school environment and interacting appropriately with students.
  • Have experience in facilities management, property management, construction, maintenance, building operations, or a related field.
