Position: Facility Coordinator 2

The Facility Coordinator is responsible for coordinating facility operations, building services, office space, furnishings, equipment, and related logistics to ensure the safe, secure, efficient, and reliable operation of assigned facilities. While supporting N3B objectives, the incumbent performs all work in accordance with applicable safety, security, quality, and regulatory requirements; maintains required training; and exercises stop-work authority whenever conditions are unsafe or noncompliant.

DUTIES & RESPONSIBILITIES:

Include, but are not limited to:

  • Coordinate with landlord representatives and service providers to ensure the effective operation of building systems, including HVAC, plumbing, electrical, fire/life safety, and other facility infrastructure.
  • Serve as the primary contact for internal customers, external vendors, site security personnel, and landlords regarding facility operations, and building logistics.
  • Respond to facility emergencies and may be required to provide after-hours support for urgent building issues.
  • Conduct routine inspections of facilities, equipment, and work needs; and coordinate repairs, and ensure facilities remain safe, functional, and compliant.
  • Coordinate office space planning, occupancy changes, furniture installation and relocation, office moves, workstation adjustments, communication services, furniture repairs, and minor renovation projects.
  • Obtain vendor quotes, coordinate contractor services, and oversee facility improvement projects when specialized work is required.
  • Monitor contractor performance to ensure work complies with safety requirements, applicable codes, contract specifications, and project schedules.
  • Coordinate the procurement of facility supplies, equipment, furniture, and related materials while keeping appropriate inventory levels.
  • Assist the Facilities Manager with planning, tracking, and administering facility operating budgets.
  • Maintain records of activities, expenditures, utility usage, contractor performance, and other facility metrics; prepare reports for management as requested.
  • Support continuous improvement initiatives by identifying opportunities to improve facility operations, customer service, efficiency, and cost effectiveness.
  • Exercise sound judgment, prioritize competing assignments, and work independently to accomplish assigned objectives.
  • Perform other duties as assigned.
EDUCATION & EXPERIENCE:

Bachelor's degree in Facilities Management, Business Administration, Construction Management, Engineering, or a related field is preferred or other closely related discipline; and at least three (3) years of relevant experience.

An equivalent combination of education, training, and directly related experience may be substituted on a year-for-year basis, provided the candidate demonstrates the knowledge, skills, and abilities required to perform the essential functions of the position.

The level of the position will be determined based on the selected candidate's education, relevant experience, knowledge, skills, and demonstrated competencies.

PREFERRED QUALIFICATIONS:
  • Administering, evaluating, or improving maintenance programs within DOE, nuclear, utility, manufacturing, or other highly regulated environments.
KNOWLEDGE, SKILL, & ABILITY:
  • Knowledge of facility operations and practices; and commercial building systems, including HVAC, electrical, plumbing, and fire/life safety systems.
  • Knowledge of applicable safety regulations, building codes, and contractor coordination practices.
  • Skill in planning, organizing, and coordinating multiple facility projects, activities, and service requests.
  • Skill in analyzing problems, exercising sound judgment, and developing practical solutions.
  • Ability to communicate effectively and build productive working relationships with employees, customers, contractors, vendors, and landlords.
  • Ability to work independently, manage competing priorities, and maintain accurate records using Microsoft Office and other facility management systems.
  • Ability to ensure compliance with safety, quality, and operational requirements while providing responsive customer service.

PHYSICAL REQUIREMENTS:

  • This position works in an office environment with low noise level due mostly to office equipment.
  • While performing the duties of this job, the employee is regularly required to sit, walk, stand, and occasionally climb or balance, squat, stoop, twist, turn, push, pull, kneel, crouch, crawl and reach with hands and arms.
  • This position frequently must lift and/or move up to 25 pounds and infrequently must lift and/or move up to 50 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.
  • Hearing requirements include ability to listen and respond appropriately to conversations in person, virtually, and over the phone.
