The Facilities Specialist is responsible for overseeing the cleanliness, maintenance, safety, and overall functionality of company buildings, grounds, and operational equipment. This role ensures that facilities and machinery operate efficiently, comply with regulations, and provide a safe, clean, and productive environment for employees and visitors. When not performing facilities-related activities, this role will assist the production group as a contributing team member with duties as assigned.

Requirements

DUTIES & RESPONSIBILITIES:

Facilities Operations & Maintenance
  • Conduct daily building operations, cleaning, organizing and maintenance activities
  • Manage preventive and corrective maintenance programs
  • Ensure HVAC, electrical, plumbing, and mechanical systems operate effectively
  • Coordinate repairs, renovations, and facility upgrades
  • Other duties as assigned
Machinery & Equipment Maintenance
  • Conduct maintenance and servicing of company machines and operational equipment
  • Develop preventive maintenance schedules for machinery
  • Troubleshoot mechanical issues and coordinate repairs
  • Ensure machinery operates safely and efficiently
  • Maintain maintenance logs and service records
  • Coordinate with production/operations teams to minimize downtime
Vendor & Contractor Management
  • Source, negotiate, and manage service contracts
  • Supervise contractors and service providers
  • Ensure work is completed on time and within budget
  • Monitor vendor performance and compliance
Health, Safety & Compliance
  • Ensure compliance with local, state, and federal regulations
  • Conduct safety inspections and risk assessments
  • Ensure machinery meets safety standards and inspection requirements
  • Implement emergency preparedness and response plans
  • Maintain accurate compliance documentation
Budget & Financial Management
  • Develop and manage facilities and maintenance budgets
  • Track expenses and identify cost-saving opportunities
  • Approve invoices and monitor financial performance
Space Planning & Workplace Optimization
  • Manage office layout, seating, moves, and space utilization
  • Support workplace improvements and sustainability initiatives
  • Coordinate workplace and operational area upgrades
PHYSICAL REQUIREMENTS:

Must be able to work on a computer (standing or sitting) for most of the day and operate standard office equipment. The ability to communicate effectively in writing and verbally with team members, customers and vendors is essential.

TYPICAL

WORKING CONDITIONS:

Combination of office work and on‑site facility inspections

Exposure to mechanical rooms, equipment areas, and outdoor conditions. May require lifting up to 50 lbs.

QUALIFICATIONS &

EXPERIENCE:
  • Bachelor's or associate degree in Facilities Management, Construction Management, Building Maintenance, or a related field preferred. Alternatively, a high school diploma or equivalent combined with extensive hands‑on experience in building trades, facilities maintenance, or general building maintenance will be considered.
  • Minimum of 3–5 years of related experience and working knowledge in building maintenance (HVAC, plumbing, electrical), project management, finance/budgeting, and health and safety compliance
  • Ability to collaborate across multiple departments.
  • Excellent technical writing, grammar, and editing skills.
