Maintenance Coordinator

Location: Madison, WI

Join Our Team as a Maintenance Coordinator

We're seeking a highly organized and customer-focused Maintenance Coordinator to join a growing property management team serving residential communities throughout the Madison area. This role is the central point of communication between residents, maintenance technicians, vendors, and property managers, ensuring maintenance requests are handled efficiently, professionally, and with exceptional customer service.

What You'll Do
  • Serve as the primary point of contact for maintenance requests from residents, property managers, and vendors.
  • Receive, prioritize, and dispatch maintenance work orders to internal technicians and third-party contractors.
  • Schedule repairs, preventative maintenance, inspections, and vendor appointments while minimizing service delays.
  • Monitor work order progress to ensure timely completion and follow up with residents regarding completed repairs.
  • Coordinate emergency maintenance requests and communicate effectively with all parties involved.
  • Maintain accurate maintenance records, invoices, vendor documentation, and service histories within the property management software.
  • Obtain and compare vendor quotes, schedule contracted work, and assist with vendor performance management.
  • Support preventative maintenance programs to help preserve the condition and value of company properties.
  • Coordinate unit turns by scheduling maintenance, inspections, cleaning, and contractor work between resident move-outs and move-ins.
  • Assist with purchasing maintenance supplies and tracking inventory as needed.
  • Work closely with property managers to identify recurring maintenance issues and recommend process improvements.
  • Ensure maintenance activities comply with company policies, safety standards, and applicable housing regulations.
  • Deliver outstanding customer service while maintaining professionalism during high-volume periods.
What We're Looking For
  • Previous experience coordinating maintenance, service dispatch, facilities, property management, construction, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and customer service skills.
  • Experience working with maintenance work orders, scheduling software, or property management systems preferred.
  • Ability to coordinate vendors, contractors, and internal maintenance staff effectively.
  • Strong attention to detail and follow-through.
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word.
  • Ability to remain calm and organized while responding to urgent maintenance issues.
  • Experience in residential or multifamily property management is highly preferred.
Preferred Qualifications
  • Property management or multifamily housing experience.
  • Experience using property management software such as Yardi, App Folio, Real Page, Entrata, or similar systems.
  • Knowledge of general building maintenance, HVAC, plumbing, electrical, or construction terminology.
  • Familiarity with vendor management and maintenance budgeting is a plus.
