At The Custom Companies, our customers depend on us to know where their freight is, where it is going, and whether it will arrive when promised. As a Transportation Tracking Coordinator, you will help make that happen.
This is more than a shipment-tracking position. You will serve as the eyes and ears of freight moving through our network, monitoring shipments from pickup through delivery, communicating with drivers and carriers, identifying potential service failures, and helping resolve problems before they affect the customer.
If you are organized, comfortable working at a fast pace, and good at keeping multiple moving pieces under control, this role offers an opportunity to become an important part of our transportation operation.
What You'll Do You will manage the day-to-day visibility of active shipments and help keep freight moving according to plan. Your responsibilities will include:
  • Monitor and track shipments from pickup through final delivery using our transportation management and tracking systems.
  • Maintain timely and accurate shipment status information so Operations and customers have reliable visibility into freight movement.
  • Proactively contact drivers and carriers throughout the day to confirm location, status, and expected pickup or delivery times.
  • Identify potential delays, missed pickups, delivery issues, and other service exceptions early and communicate them before they become larger problems.
  • Coordinate with drivers, carriers, Dispatch, Operations, and Sales to resolve shipment issues and determine appropriate next steps.
  • Keep customers and internal teams informed of shipment status, delays, schedule changes, and resolutions.
  • Respond to incoming driver, carrier, and customer calls and emails professionally and efficiently.
  • Document shipment activity, communications, exceptions, and resolution steps accurately in the TMS.
  • Assist with detention, accessorial charges, billing questions, and shipment or claims discrepancies by gathering and communicating the appropriate information.
  • Establish and maintain receiver, vendor, customer, and supplier location information within the TMS.
  • Monitor service performance, including on-time pickup and delivery and shipment exceptions, and escalate situations when performance is at risk.
  • Look for opportunities to improve tracking processes, communication, and shipment visibility.

You know what is happening with the freight you are monitoring. When something begins to go off schedule, you recognize it, investigate it, communicate it, and help move the situation toward resolution.
Strong Transportation Tracking Coordinators develop a reputation for being dependable, accurate, responsive, and calm when the operation gets busy.
What We're Looking For You do not need to know everything about transportation on your first day. We are looking for someone who can learn the business, manage information accurately, communicate well, and take ownership of the work.
You should bring:
  • A high school diploma or GED; additional education in transportation, logistics, supply chain, or a related field is a plus.
  • Previous experience in transportation, logistics, dispatch, shipment tracking, customer service, or another fast-paced coordination role is preferred.
  • Strong organizational skills and the ability to manage multiple shipments, conversations, and priorities at the same time.
  • Clear and professional verbal and written communication skills.
  • Comfort working on the telephone and managing a steady volume of calls, emails, and system updates throughout the day.
  • Strong attention to detail, particularly when entering shipment status, location, timing, and customer information.
  • Good judgment and problem-solving skills when plans change or unexpected situations occur.
  • The ability to remain composed and productive in a deadline-driven transportation environment.
  • Basic proficiency with Microsoft Outlook, Excel, and Word.
  • Experience with transportation management systems, dispatch systems, or shipment-tracking technology is helpful but not required.
  • The ability to work independently while collaborating closely with drivers, carriers, customers, Dispatch, Sales, and Operations.
