Regional Facilities Coordinator
The Regional Facilities Coordinator supports the operational effectiveness of multiple sites within designated region. This role ensures facilities are safe, compliant, well-maintained, and operating efficiently. The coordinator partners closely with the Regional Facilities Leader, local site managers/teams, and external vendors to deliver high-quality facility services and a consistent employee experience.
ResponsibilitiesFacility Operations & Maintenance
- Coordinate day-to-day facility operations across regional sites, including building maintenance, repairs, inspections, and cleaning services.
- Conduct routine site walk-throughs to identify maintenance needs, safety concerns, and improvement opportunities.
- Manage CMMS work orders, ensuring timely response, completion, and documentation.
- Support CMMS preventive maintenance programs and ensure assets are serviced according to schedule and on time.
Vendor & Contractor Management
- Support vendor onboarding
- Liaise with vendors for maintenance, repairs, landscaping, security, cleaning, waste management, and other facility services.
- Assist with obtaining quotes, issuing purchase orders, and monitoring vendor performance.
- Ensure vendors follow company safety standards and comply with contractual obligations.
EHS & Sustainability Compliance
- Support regional compliance with EHS and Sustainability and building regulations.
- Assist in coordinating safety audits, fire drills, inspections, and compliance-related documentation.
- Ensure facilities meet internal standards for cleanliness, accessibility, and workplace safety.
Space & Workplace Management
- Assist with space planning, desk layouts, moves/adds/changes, and occupancy tracking utilizing company systems.
- Coordinate meeting room setups, ergonomic assessments, and workplace experience improvements.
- Help ensure the physical environment supports productivity and employee well-being.
Budget & Procurement Support
- Track facility expenses, submit invoices, and support budget forecasting.
- Help manage regional procurement of supplies, equipment, and facility services.
- Maintain accurate records of maintenance logs, vendor contracts, and facility assets.
Project Coordination
- Support facility-related projects such as refurbishments, upgrades, relocations, systems and installations.
- Coordinate timelines, communication, and on-site activity to minimize business disruption.
- Provide project status updates to the Regional Facilities Leader and site leadership.
Communication & Stakeholder Support
- Serve as the point of contact for facility-related requests and escalations in the region.
- Communicate maintenance updates, building notices, and changes impacting employees.
- Build strong relationships with site leaders, security teams, and workplace partners.
- Support and develop Facilities documentation and procedure for the region
Out of hours Support
- To participate in a scheduled on-call rota (1 week in
5) to provide out-of-hours support, responding to emergency Security and maintenance issues in a timely manner. - Attending site to diagnose and resolve faults or coordinate appropriate response, ensuring minimal disruption to operations through effective incident management.
- Experience in facilities coordination, maintenance support, property management, or a related field with minimum of 5 years' experience.
- Strong organizational and time-management skills with the ability to manage multiple sites.
- Excellent communication and customer service skills.
- Working knowledge of building systems (HVAC, electrical, plumbing) is a plus.
- Ability to interpret and follow regulatory, safety, and compliance guidelines.
- Proficiency with CMMS work order systems (Brightly Asset Essentials), Microsoft 365, and basic reporting tools.
- Valid driver's license and willingness to travel within the region.
Ideal candidate to be located near our UL Labs in Auburn Hills, Chicago or Plano.
What we offer:

We understand compensation is an important factor as you consider the next step in your career. The estimated salary range for this position is $60,000 to $72,000 and is based on multiple factors, including job-related knowledge/skills, experience, geographical location, as well as other factors. This position is eligible for annual bonus compensation with a target payout of 5% of the base salary.
This position also provides health benefits such as medical, dental and vision; wellness benefits such as mental and financial health; and retirement savings (401K) commensurate with the standard rewards offered in each individual location or country. We also provide full-time employees with paid time off including vacation (15 days), holiday including floating holidays (12 days) and sick time off (72 hours).
