Facility Coordinator
MAQ Resources, LLC is seeking a Facility Coordinator to support the Facility Manager in the operation, maintenance, and administration of Internal Revenue Service (IRS) facilities. This position ensures facility operations are performed safely, efficiently, and in compliance with IRS policies, federal regulations, contractual requirements, and applicable building codes.
Serving as the primary liaison between IRS personnel, vendors, subcontractors, landlords, and building occupants, the Facility Coordinator is responsible for coordinating maintenance activities, managing work orders, monitoring contractor performance, supporting regulatory compliance, and maintaining a safe, secure, and mission-ready workplace.
Essential Duties and Responsibilities- Support the Facility Manager in the administration and execution of all facility management services in accordance with contract requirements, IRS policies, and applicable federal regulations.
- Coordinate daily facility operations to ensure reliable building performance and uninterrupted support of IRS mission-critical activities.
- Serve as a primary point of contact for IRS personnel, building occupants, landlords, vendors, and subcontractors regarding facility operations and service requests.
- Receive, prioritize, assign, and monitor work orders through the Computerized Maintenance Management System (CMMS), ensuring timely response and completion in accordance with established service levels.
- Monitor work order status, provide regular updates, and ensure preventive and corrective maintenance activities are completed on schedule.
- Conduct routine facility inspections to identify maintenance deficiencies, safety concerns, security issues, and operational risks.
- Coordinate preventive maintenance, inspections, testing, and repairs for HVAC, electrical, plumbing, fire protection, emergency power, elevators, security systems, and other building infrastructure.
- Ensure all work is performed in compliance with OSHA regulations, NFPA codes, environmental requirements, applicable building codes, and contractual obligations.
- Coordinate contractor access to occupied IRS facilities while ensuring compliance with security procedures, badging requirements, escort policies, and site-specific access protocols.
- Verify contractor performance and inspect completed work to ensure quality standards and contractual requirements are met.
- Review vendor proposals, scopes of work, cost estimates, and invoices for accuracy and contract compliance.
- Monitor subcontractor performance and maintain documentation supporting quality assurance and operational excellence.
- Maintain accurate records of maintenance activities, inspections, equipment histories, compliance documentation, and facility reports.
- Prepare operational reports, performance metrics, and documentation for facility management and client leadership.
- Support emergency response activities during equipment failures, utility outages, severe weather events, and other facility emergencies.
- Assist in implementing corrective actions resulting from inspections, audits, and quality assurance reviews.
- Coordinate office moves, furniture installations, conference room setups, and other tenant support activities with minimal disruption to operations.
- Support sustainability initiatives, preventive maintenance programs, and continuous improvement efforts that enhance facility performance and operational efficiency.
- Maintain effective communication with IRS representatives, property management, vendors, subcontractors, and internal leadership.
- Provide guidance and training to new personnel regarding facility procedures, safety practices, customer service expectations, and contract requirements.
- Protect sensitive government information by adhering to all IRS security, privacy, and information protection policies.
- Perform other duties as assigned in support of contract operations and agency mission requirements.
Qualifications
- Experience coordinating facility operations within federal, commercial, or institutional facilities.
- Experience supporting occupied government facilities is preferred.
