Service Maintenance Manager
Location:
Miami, FL
The Service Maintenance Manager oversees a staff of maintenance technicians, groundskeepers, housekeepers, and other onsite personnel. They implement training, preventive maintenance, schedules, manage work orders, vendor contracts, and ensure compliance with policies, laws and safety regulations.
Day‑to‑Day Responsibilities- Plan and direct the activities of the service team; partner with the property manager regarding the employment cycle—interviewing, training, developing, mentoring, leading, coaching and managing a high‑performing, cohesive team to maximize engagement and minimize turnover; ensure adequate staffing.
- Maintain and manage vendor relationships; handle maintenance contracts, vendor bids and evaluations.
- Ensure service requests are assigned to the appropriate team member and completed professionally and accurately; schedule appropriate vendors if necessary; sign off on completed service requests; elevate issues to the property manager if unresolved within a stipulated time.
- Oversee community appearance and cleanliness in daily operations; complete daily premises inspections; coordinate with vendors to ensure assets are properly maintained.
- Update, execute and document the preventive maintenance schedule regularly and advise the community manager of status.
- Ensure apartments are ready for occupancy by overseeing and scheduling all aspects of the make‑ready process in accordance with leasing needs—including move‑out/move‑in inspections, electrical, HVAC, plumbing, carpentry, appliance repair, carpet cleaning/replacement, painting, equipment maintenance, preventive maintenance and cleaning.
- Maintain life‑safety equipment—including fire pumps, sprinklers, emergency generators, fire panels, smoke detectors, CO detectors, etc.—and test as required.
- Document and maintain accurate and detailed maintenance records (equipment replacement and repairs, appliance, carpet and vinyl replacements, apartment painting, refrigerator coil cleaning, carbon‑monoxide checks).
- Identify capital improvements and report to the community manager.
- Assist the community manager in preparing the property's budget for normal maintenance operations; recommend upgrades and capital improvements; monitor the budget and plan purchases and contracted services in accordance with approved budgetary guidelines.
- Ensure daily pool/spa inspections (in season, if applicable); maintain proper water chemistry, cleanliness, and perform required repairs or improvements.
- Adhere to all local, state and federal laws, including Fair Housing, safety procedures and OSHA requirements.
- Perform other projects and tasks as assigned.
- On‑site presence required.
- High school diploma or equivalent.
- EPA Universal CFC certification required.
- Certificate for Apartment Maintenance Technician (CAMT) preferred.
- Certified Pool Operator certificate may be required.
- Minimum of five (5) years of plumbing, electrical, mechanical, drywall repairs, carpentry, and/or pool/spa maintenance experience.
- Minimum of two (2) years' service and supervisory experience or equivalent.
- Financial acumen/experience writing and maintaining budgets; general understanding of accounting principles.
- Proficiency in property management software (Yardi, Real Page) or similar.
- Excellent customer‑service skills while maintaining the highest standards of professionalism.
- Possession of a valid driver's license to operate a company vehicle may be required.
- This position does not provide visa sponsorship; candidates must be authorized to work in the United States without sponsorship.
