POSITION SUMMARY:The core responsibility of the Maintenance Parts Clerk is to support the maintenance department by ensuring maintenance parts, supplies, and inventory are properly ordered, received, organized, stocked, and readily available to support equipment repairs and preventative maintenance activities. This position works closely with the Maintenance Manager, Maintenance Supervisor, Maintenance Planner, Maintenance Technicians, Production, and suppliers to maintain accurate inventory levels, minimize downtime, and ensure parts are available when needed.
The Maintenance Parts Clerk is also responsible for maintaining organized parts storage areas, tracking inventory usage, processing orders, and assisting with cost control.
The following statements reflect the general details necessary to describe the major functions of this position and are not intended to be a detailed description of all the work/functions that may be required. Other duties may be assigned. Individual will work a varied schedule based on client needs.
- Order maintenance parts, supplies, tools, and equipment from vendors including McMaster-Carr, Grainger, OEM suppliers, and other approved suppliers.
- Maintain accurate inventory counts and ensure appropriate stock levels of critical maintenance parts and supplies.
- Receive, inspect, label, and properly store incoming maintenance parts and materials.
- Organize and maintain the maintenance parts room to ensure items are clearly identified, accessible, and properly stored.
- Monitor inventory usage and identify parts that need to be reordered based on established minimum and maximum stock levels.
- Maintain accurate records of parts received, issued, returned, and on order.
- Assist the Maintenance Manager, Maintenance Supervisor, Maintenance Planner, and Maintenance Technicians, in identifying and sourcing parts needed for repairs and preventative maintenance work orders.
- Research parts, pricing, availability, lead times, and alternative products to support cost-effective purchasing decisions.
- Coordinate with suppliers regarding order status, backorders, delivery dates, incorrect shipments, and damaged materials.
- Assist with maintaining accurate vendor information, pricing, and part numbers within the ERP or maintenance management system.
- Support the maintenance department by ensuring commonly used and critical parts are available to minimize equipment downtime.
- Manage parts inventory and purchasing costs in accordance with established department budgets.
- Properly dispose of or return obsolete, damaged, or excess parts as directed by the Maintenance Manager.
- Maintain organized documentation and records related to maintenance parts, purchasing, and inventory.
- Support compliance with OSHA, SQF, food safety, and other applicable regulatory standards.
- Collaborate with the Maintenance Manager and Production Supervisor to ensure parts are available to support preventative maintenance and repair activities.
- Maintain a clean, safe, and organized maintenance parts storage area.
- Ability to work effectively in a fast-paced manufacturing environment and prioritize multiple tasks.

EDUCATION and/or EXPERIENCE- Associate degree or equivalent from two-year college or technical school;
- Experience in CMMS system, FIIX preferred
- At least one to three years related industrial maintenance experience and/or training;
- Or an equivalent combination of education and experience.
