London Bay Homes, a luxury home builder with over 30 years of experience, is currently recruiting for an experienced Estate Manager to join our growing team due to our recent sales success .

The primary responsibility of the Estate Manager is to oversee the care, operation, maintenance, and presentation of high-end residential properties. As the homeowner’s trusted representative, the Estate Manager keeps each residence at an exceptional standard and always ready for the owner’s arrival. The role spans preventative maintenance, vendor and project coordination, financial accountability, and personalized homeowner service. It requires an exceptional eye for detail, strong knowledge of luxury residential construction and building systems, and the discretion and professionalism required to work with high-net-worth homeowners and their families ensuring excellent client service is provided at all times, “LB Private Label Living”.

The goal is simple: when the homeowner arrives, the home should feel effortless. Every system operates, every detail is considered, and every known issue is resolved or actively managed. The homeowner never has to wonder whether the residence is being cared for — the Estate Manager already knows what needs attention, has a plan for it, and communicates it clearly.

JOB

RESPONSIBILITES:
  • Conduct regular, detailed inspections of the residence, grounds, garages, pools, docks, and equipment rooms.
  • Maintain each property to an exceptional standard, addressing issues before the homeowner notices them.
  • Keep homes secure, clean, climate-controlled, and occupancy-ready, including hurricane preparation and post-storm assessment.
Preventative Maintenance & Building Systems
  • Develop and administer a preventative maintenance program for each residence.
  • Monitor and coordinate service for HVAC, electrical and lighting control, plumbing and water treatment, pool and spa, generators, elevators, home automation and audiovisual, security and access control, irrigation, roofing and building envelope, and appliances.
  • Maintain accurate service histories, warranties, maintenance schedules, and property records.
Vendor & Trade Partner Management
  • Build relationships with highly qualified contractors and specialty trades suited to luxury residences.
  • Schedule and supervise vendors on site, holding them accountable for quality, cleanliness, and safety.
  • Review proposals and invoices for accuracy and value, and consolidate visits to minimize disruption.
Homeowner Service
  • Serve as the homeowner’s primary point of contact regarding the care and operation of the residence.
  • Learn each homeowner’s preferences and provide concise, proactive updates on conditions and upcoming needs.
  • Coordinate arrival and departure preparations so the residence is fully operational on arrival.
  • Respond promptly and professionally to requests while maintaining strict confidentiality and discretion.
Projects & Renovations
  • Support construction and renovation teams on improvements, repairs, and special projects.
  • Coordinate contractors, designers, architects, and specialty consultants.
  • Monitor schedules, budgets, workmanship, and punch-list completion, representing the homeowner’s interests.
Financial & Administrative
  • Develop and monitor annual operating and maintenance budgets for assigned properties.
  • Approve invoices only after confirming satisfactory completion; identify savings that do not compromise quality.
  • Maintain organized digital records and report periodically on completed work, outstanding items, and capital needs.
Emergency & Risk Management
  • Maintain emergency procedures and vendor contacts for each property.
  • Lead hurricane preparation and post-storm inspections.
  • Respond to water intrusion, equipment failures, and security issues, and flag risks before damage occurs.
