Position Summary

The Maintenance Planning & Inventory Coordinator is responsible for managing preventive maintenance (PM) systems, spare parts inventory, and maintenance planning activities to support production uptime and regulatory compliance. This role integrates inventory control, CMMS/IQMS asset management, and maintenance scheduling to ensure equipment readiness, accurate documentation, and efficient execution of maintenance operations in a regulated manufacturing environment.

Key Responsibilities

Maintenance Planning & PM Coordination
  • Coordinate and manage preventive maintenance schedules, work orders, and documentation within IQMS/CMMS systems
  • Create, update, and maintain PMs for all production and facility equipment
  • Ensure timely completion, tracking, and compliance of maintenance activities aligned with FDA, ISO 13485, and cGMP requirements
  • Identify gaps in PM coverage and implement improvements based on equipment performance and failure trends
  • Support audits by maintaining accurate, complete, and traceable maintenance records
Inventory & Spare Parts Management
  • Manage spare parts inventory across multiple storerooms, ensuring accuracy, traceability, and availability
  • Establish and maintain min/max levels aligned with production and maintenance requirements
  • Receive, verify, label, and store incoming parts with proper system entry and physical organization
  • Perform regular cycle counts, reconcile discrepancies, and maintain accurate inventory records
  • Implement structured storage systems (A/B/C movers, barcoding, location mapping) for efficient retrieval
  • Coordinate with procurement and vendors (including VMI programs) to ensure timely replenishment
System & Asset Management (IQMS / ERP)
  • Maintain asset records, equipment additions/removals, and associated documentation in IQMS
  • Develop and manage UOMs, checklists, and maintenance documentation within system libraries
  • Integrate inventory, PMs, and work orders into a unified system-driven process
  • Generate reports for inventory levels, PM completion, and maintenance performance
Work Order & Documentation Control
  • Ensure all maintenance work orders are properly created, executed, and archived per SOP requirements
  • Maintain organized digital and physical records (e.g., G-Drive or equivalent) for compliance and audit readiness
  • Support continuous updates to SOPs, PMs, and maintenance procedures
Cross-Functional Coordination
  • Serve as a liaison between Maintenance, Engineering, Operations, Quality, and Purchasing
  • Ensure spare parts availability aligns with scheduled PMs and production needs
  • Support CAPA, quality initiatives, and cleanroom projects as required
  • Assist with training personnel on maintenance systems, inventory processes, and work order execution
Continuous Improvement
  • Drive improvements in inventory accuracy, PM effectiveness, and maintenance workflows
  • Identify opportunities to streamline processes through system integration and standardization
  • Support development of training matrices and maintenance process documentation
Qualifications
  • High school diploma required;
    Associate's or technical degree preferred
  • 3 to 5+ years of experience in maintenance planning, inventory control, or manufacturing support
  • Strong organizational, analytical, and communication skills
  • Experience with CMMS/ERP systems (IQMS preferred)
  • Understanding of injection molding, maintenance operations, and spare parts management preferred
  • Knowledge of FDA, ISO 13485, and cGMP requirements preferred
