The Role

The Superintendent will be responsible for maintaining the overall operation of the buildings to include building maintenance, internal and external, ensuring that the buildings maintain proper operating certifications as required by codes and compliance with all Federal, State, and City property regulations. Super will be responsible for working closely with facility maintenance staff.

Typical Duties

The following duties are typical for this classification. Incumbents may not perform all the listed duties and/or may be required to perform additional or different duties from those set forth below to address building needs and changing business practices.

Responsibilities include, but are not limited to:
  • Oversee the day-to-day operations of the building and overall maintenance department.
  • Evaluate systems or facilities to determine maintenance or repairs that need to be performed.
  • Assess building systems to plan work assignments and project schedules.
  • Develop maintenance procedures and schedules.
  • Ensure maintenance and repair work is completed correctly and in a timely manner.
  • Ensure work orders are addressed based on priority and are completed and signed off in a timely and satisfactory manner.
  • Plan, prioritize, assign, and participate in the work assigned to maintenance technicians.
  • Identify resource needs; review needs with appropriate management staff.
  • Monitor and control supplies and equipment; order supplies and tools as necessary; prepare documents for supplies or equipment procurement, including unit appliances and furnishings.
  • Provide training in facility maintenance and safety methods, procedures, and techniques to maintenance technicians.
  • Maintain binder logs for preventive maintenance, safety inspections, building inspections, and vendor delivery receipts, as well as equipment and supplies inventory.
  • Coordinate with contractors in providing contract services.
  • Develop cost estimates for supplies and equipment using a 3-bid quote request.
  • Develop and recommend systems and procedures related to assigned operations.
  • Attend and participate in professional group meetings; maintain awareness of new trends and developments in the field of facility maintenance; incorporate new developments as appropriate into program.
  • Answer maintenance inquiries and provide updates to tenants regarding work orders and maintenance complaints, implementing corrective action as necessary to resolve in a timely and satisfactory manner.
  • Escort exterminators, service providers, and inspectors.
  • Maintain the upkeep including preventive, repair of the building, and grounds.
  • Ensure maintenance repair of building and tenant units are performed in a timely and satisfactory manner.
  • Oversee that properties and units meet appropriate regulations passing all HPD Housing Quality inspections and contractual inspections.
  • Maintain inspection logs for all building systems, including but not limited to sprinkler systems, fire extinguishers, fire safety logs, carbon monoxide detectors, battery replacements, and boilers.
  • Develop and maintain preventive maintenance schedule of facility and grounds.
  • Coordinate with the maintenance technician to ensure facility is well‑maintained on a daily basis in accordance with good housekeeping and maintenance practices, safety, and prevention of potential hazards.
  • Maintain aesthetic appearance of building, painting interior and exterior.
  • Prepare reports as necessary to submit to the Property Manager, including but not limited to facilities update.
  • Attend hearings as needed for any violations in the building.
  • Obtain supporting documentation to cure any violation.
  • Ensure that all mechanical infrastructure systems—plumbing, heating, electric, ventilation, HVAC—are well maintained.
  • Maintain fire safety log and building inspections.
  • Work without side agencies such as the FDNY, DOH, DOB, HPD, HRA, OTDA, to ensure compliance with all local, state, and federal regulations related to facilities and grounds.
