Position SummaryThe Facilities Coordinator is a hands‑on operational professional responsible for supporting the daily maintenance, safety, and functionality of assigned facilities. This role works alongside maintenance staff, contractors, and vendors while managing the Facilities Work Order/Ticketing System, conducting inspections, supporting preventative maintenance, coordinating space setups, and ensuring exceptional customer service. This is not a desk‑only position; the successful candidate leads by example and actively participates in day‑to‑day facilities operations.
CoreResponsibilities & Performance Expectations Facilities Ticketing & Work Order Management Responsibilities:
- Receive, prioritize, assign, monitor, and close work orders.
- Maintain accurate ticket documentation, notes, invoices, and photographs.
- Provide timely updates to requestors.
- Escalate critical issues when appropriate.
- 95% of work orders completed within service standards.
- New requests acknowledged within 1 business day.
- 98% documentation accuracy.
- Conduct daily building walkthroughs and inspections.
- Work alongside maintenance staff during operational needs.
- Assist with office moves, room setups, furniture reconfiguration, and minor operational projects.
- Verify completed work before closing tickets.
- 100% scheduled inspections completed.
- High‑priority work personally verified before closure.
- Visible presence throughout assigned facilities.
- Coordinate vendors, monitor work quality, ensure safety compliance and timely completion.
- 95% vendor work completed on schedule.
- Serve as Deputy Fire Warden.
- Support OSHA, fire safety, and emergency preparedness.
- 100% participation in required drills and compliance activities.
- Provide responsive service to internal stakeholders and maintain professional communication.
- 90%+ positive internal customer satisfaction.
- Associate degree or equivalent facilities, maintenance, office management, or property management experience.
- Experience using a facilities ticketing/work order management system preferred.
- Working knowledge of Microsoft Office;
Oracle experience is a plus. - Strong customer service, communication, organization, and problem‑solving skills.
- Ability to perform hands‑on operational work, including walking facilities, lifting up to 50 pounds, and assisting with building projects.
