About Our ClientAddison Group is partnering with a well-established, global professional association to identify an experienced Meeting Planner to support high-profile, large-scale conferences and events. Our client is known for strong internal collaboration, long employee tenure, and a supportive team environment.
Job DescriptionThe Meeting Planner will lead the planning and execution of a major annual U.S.
-based conference with approximately 1,200 attendees, along with supporting additional meetings throughout the year. This role owns logistics, vendor coordination, contracts, budgeting, and on-site execution while collaborating closely with internal teams and external partners.
- Manage end-to-end planning for a large annual conference and related events
- Oversee venue sourcing, RFPs, contract negotiation, and vendor relationships
- Prepare and manage event budgets, track expenses, and reconcile final invoices
- Coordinate attendee and VIP housing, including room blocks and on-site issue resolution
- Lead catering planning, décor coordination, and overall event look and feel
- Partner with marketing teams on registration materials, websites, apps, and program content
- Lead internal planning meetings, set agendas, and coordinate staff assignments
- Maintain historical event records to support future planning cycles
- Support additional high-visibility events such as press functions, guest receptions, and recognition programs
- 5–7 years of full-cycle meeting or event planning experience
- Proven experience managing large, complex meetings with significant logistics
- Strong background in vendor management, contract review, and budget oversight
- Excellent organizational, time management, and multitasking skills
- High level of customer service and stakeholder management
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Stable work history with strong tenure
- Full-time, 40 hours per week
