The Maintenance Administrator plays a vital role in ensuring the smooth operation of property maintenance across Village Realty’s vacation rental portfolio. Maintenance Administrator is responsible for coordinating maintenance work orders, communicating with vendors and in-house maintenance technicians, updating homeowners, company staff and ensuring timely and effective resolution of property issues.

$250.00 Sign on bonus

• Receive, prioritize, and dispatch maintenance requests from guests, homeowners, and internal staff.
• Schedule and coordinate in-house maintenance technicians and external vendors.
• Monitor the status of work orders to ensure completion within deadlines.
• Communicate professionally with homeowners repairs, costs, and updates.
• Communicate professionally with vacationers and company staff repairs and updates.
• Maintain accurate records in property management and maintenance software systems.
• Assist with invoice review, coding, and processing.
• Follow up on preventative maintenance schedules and compliance.
• Support seasonal maintenance planning and off-season repair projects.
• Ensure all work complies with company standards and local regulations.
• Participate in after-hours or on-call rotation as needed.

• High school diploma or equivalent; associate degree or vocational training preferred.
• 2+ years of experience in property maintenance coordination, facilities administration, or related field.
• Strong organizational and multitasking abilities.
• Excellent communication and customer service skills.
• Proficiency in Microsoft Office and experience with maintenance management or property management systems (e.g., Track, Breezeway, is a plus.
• Familiarity with basic building systems (HVAC, plumbing, electrical, etc.) helpful.
• Ability to work in a fast-paced environment, especially during peak rental seasons.
